Full Job Description
To fully support service users in the aspects of Housing Management in a sensitive manner as prevention to enforcement action, but consistently enforcing licence agreements and advising the support team where appropriate.
To assist with maximising Roundabouts rental income, including processing housing benefit and monitoring rent accounts.
You will be an integral part of the team and contribute towards the service delivery by offering administrative support to residents, staff and visitors.
To contribute to the achievement of contractual service obligations.
Key accountabilities
Provide contact, advice and guidance to residents within the framework of the licence agreements and relevant policies and procedures.
Ensure service user handbooks and sign-up packs for new residents are relevant, up to date and accessible, this will include updating any changes to the licence agreements where necessary.
To meet with new service user's following the initial sign up to ensure housing management aspects such as rights and responsibilities of their licence agreement are revisited, this will include embedding and reinforcing the expectation in them maximising their income, paying rent charges and demonstrating positive behaviour within the residential environment.
To assist with the application and process of housing benefit claims, and respond to any actions required whilst working in conjunction with the support team and relevant agencies.
To undertake a weekly income, check on all residents and effectively communicate this to the rest of the team. Contribute towards the monitoring of rent accounts, liaise with key workers and work within the framework of the rent arrears and eviction policies and procedures.
To offer housing management where there is anti-social behaviour, rent arrears and other breaches of licence agreements. This should be done in conjunction with the key worker and the management team.
Oversee that that the necessary paper work has been received when a resident surrenders their licence agreement.
To assist with reporting day to day repairs required for the maintenance of the residential accommodation.
To ensure that the fabric of the accommodation is kept to a high standard by carrying out weekly H&S / damage checks and reporting any damage or repairs to the relevant personnel. Whilst empowering service users to be involved in their own health and safety checks.
Monitor night workers H&S / damage checks to maintain the high standard agreed by management.
Ensuring void bed spaces are cleaned and repaired to a high standard for new service users by referring to the void inspection sheet and aliasing with relevant personnel to place orders, report repairs and making sure all relevant paperwork is completed and signed.
To utilise systems in place for recording, including electronic data recording, Microsoft word, excel and Roundabouts Database IT system.
Ensure there is comprehensive written communication that is relevant, appropriate and accessible; this will include written sanctions such as formal breach of licence agreements and NTLO
Ensure Petty cash records are up to date accurate, balance and are supported by receipts. Process and submit these records in agreement with finance teams
Other duties
Contribute towards general reception duties; this includes greeting, and creating a welcoming environment to our service users and visitors.
Assist with telephone calls and enquires.
To facilitate referrals to the project when required.
To maintain adequate supplies of office paperwork through photocopying and assist with the general organisation of the office, including the safe storage of data.
Ensure that there is a good stock of advice and agency information.
To facilitate minute taking when required.
Attend and participate fully in relevant staff meetings, away days and training days.
Undertake appropriate training and professional development activities and participate in Roundabout's supervision and appraisal process
