Full Job Description

The role of the Resource Admin is to conduct operational planning activities within the workplace Wellbeing division. The purpose of which, is to provide clients and/or resource pools with optimised plans to deliver the best service possible according to client requirements, whilst managing the overtime requirement for coverage of a 24/07 service.,

  • Working in conjunction with the EAP Team Leader to determine the appropriate levels of resources to be planned by client, and enacting the plans to ensure service delivery, KPI achievement and compliance rates are delivered.

  • Identify and resolve gaps in coverage of the staff Rota's, ensuring all shifts are covered.

  • Maintenance of schedules in an agreed, standardised format, ensuring data is accurate.

  • Ensuring shrinkages (e.g., absence, holidays, training, meetings) are approved and managed in line with forecasts and guidance and recorded appropriately on the relevant logs and plans.

  • Re-planning to accommodate changes to schedules, cancellations, absence of practitioners, priorities etc., whilst fully understanding and being able to articulate the impact of changes.

  • Work in conjunction with the Therapy Services Operations Manager and MSK, EAP and TM Team leaders to monitor schedule adherence and identify opportunities for improvement to maximise productivity and utilisation, KPIs or to minimise the impact of unplanned changes.

  • Identifying issues within the plans and proposing solutions to resolve.

  • Setting up the planned schedules within the booking system, ensuring they are accurately setup to reflect restrictions.

  • Identifying opportunities for improvement within planning processes.

  • Carry out other ad hoc tasks commensurate with level of responsibility as requested.

    Previous experience of planning and scheduling is desirable.

  • Excellent communication skills, both written and verbal

  • Able to think logically and construct sound, persuasive arguments, enabling effective decision making.

  • Must be able to work autonomously.

  • Able to demonstrate resilience and the ability to deal with setbacks constructively, working to resolution of issues.

  • Be an advocate for change and process improvement.

  • Able to demonstrate a clear attention to detail, always ensuring data accuracy and integrity.

  • Ability to maintain and develop strong, trust-based working relationships.

  • IT literacy: Able to confidently use MS Office Applications, such as Word, Excel and Outlook etc.
