Full Job Description

This is an exciting opportunity to be a part of the Respiratory Directorate .The post holder should therefore expect to work across any of the 5 trust sites Including Rossendale, Accrington, Pendle, Blackburn, or Burnley, as required.
The role of the Respiratory Administrator is to provide support to the clinical and diagnostic team with their workload and to develop skills to become one of the team., + To provide a high-quality typing support and administrative service to various teams.
+ Validating lists
+ To prioritise administration workload ensuring deadlines are met on a daily basis providing a seamless administration service to the medical secretarial teams.
+ Take ownership of current waiting times and escalate if required to the administrative supervisor and Service Manager.
+ Manage clinic lists and book patients in a timely manner
+ Receive telephone enquiries with tact and discretion and have the ability to deal with these appropriately and in a timely manner.
+ Receive, record and prioritise incoming and outgoing post, both paper and electronic, extracting relevant correspondence.
+ Produce regular correspondence and documents to meet specific deadlines, using packages which may include Microsoft Office, Word, Excel, Outlook, PowerPoint and in-house computer packages.
+ Receiving incoming patient referrals and action them as appropriate.
+ Send out patients test results in a timely manner.
+ To complete daily attendance and disposals, ensuring correct information is recorded and actioned in a timely manner.
+ To be responsible for the reporting of faults appropriately, as directed.
+ To be responsible for maintaining adequate stock levels, including receipting deliveries of parcels and equipment.
+ To provide general administrative duties e.g. filing, scanning and photocopying.
+ Tracking in/out medical notes.
+ Requesting notes from medical records as appropriate.
+ Ensure effective communication with all work colleagues, visitors and patients.
+ Searching for notes following case note requests from Health Records.
+ Be responsible for the upkeep of patients' hospital records via Cerner
+ Always maintain confidentiality ensuring that information is only divulged to authorised sources and by appropriate means.
+ Input and extract data from patient administration systems (Cerner) and other relevant software programs, which may be Trust-wide or specialty-specific.
+ Ensure Department security is maintained.
+ Ensure email and phones are checked and answered daily.
+ Cancelling/amending outpatient clinics in absences.
+ Training and support to the admin team, ensuring competencies
+ Attend all mandatory training.

Disclosure and Barring Scheme (DBS)

The healthcare sector is exempted from the Rehabilitation of Offenders Act 1974.
In line with other NHS organisations in the North West Region, the Trust is now passing the charge for undertaking a DBS check on to candidates in the event they are successfully appointed into the post for which they have applied. Candidates can choose whether to pay this over 1-3 months as a deduction from the monthly salary. However, if you are applying for a post as a BANK worker, the payment must be made in full at the time of employment checks. By applying for this vacancy you are agreeing to this undertaking in the event you are successfully appointed.
The cost of an Enhanced Disclosure will be £42.90 and for a Standard Disclosure £22.90 which includes a small handling fee.

The successful candidate will be working mainly to deliver the respiratory administration function across East Lancashire.
