Full Job Description
Ensure all external /internal returns orders are managed correctly into and out of factory. The role is responsible for the reliability of demand used for factory planning, driving a reduction in pull in and push outs through a greater linkage with Materials Planning and Shipping teams. Encompassing and coordinating returns back to home site. Duties:
- Manage the adherence to the original promise date agreed at order acceptance.
- Root cause analysis for any changes to Material Availability Date (MAD) within the agreed time frame.
- Achievement of On Time Delivery (OTD) and inventory turns targets for the business.
- Overall responsibility for operational trade and compliance ensuring all relevant documentation (EUCs/Export licenses/Import Permits/Credit Terms) are in position before the equipment is ready to ship.
- Coordination and entry of customer sales orders and RMA into SAP, providing returns material authorization references to customers
- Manage timely creation of quotations, order acknowledgments, delivery notes and invoices for RMA. Ensure up front order information check lists are maintained in advance of order being loaded to SAP with MAD.
- Working in partnership with the planning team to ensure successful execution of production plan.
- Be part of a culture of continuous improvement.
- Verify orders are received as per quotations: Ensure terms, configuration, pricing and part numbers are all correct prior to entry into SAP.
- Update Sales orders and RMA in SAP in the event of changes.
- Keep Customers and Sales managers aware of any changes / delays in delivery dates
- Ensure all Customer Declaration Forms are completed and safe for the units return
- Enter repair orders and sales orders Produce return documentation to customer
- Generate service repair orders upon receipt of RMA, and provide service reports to customers coming from internal service team.
- Manage the disposal process adhering to environmental regulations and providing disposal certificates
Experience of SAP is essential - Great people skills

- Self-motivated, pro-active, punctual, shows attention to detail, adaptable
- Understanding of Material Requirements Planning and the levers that drive the business
- Be able to analyse revenue reports and update with the latest information available from Programmes, Service & Logistics. Ability to take decisions without all the information available to them
- Ability to plan and manage workload to ensure customer service levels exceeded
- Strong customer service skills and the ability to work under pressure and strict deadlines.
