Full Job Description

Working on behalf of the Division of Family Care you will take a leading role in the compilation and day to day co-ordination/operational management of the Medical Staffing rota for General Paediatrics. You will need to liaise with the rota master for the division. You will need to ensure compliance with the EWTD and that medical staff are effectively deployed at all times., To provide specific support to the Rota Master in General Paediatrics To be responsible for compiling, disseminating and co-ordinating all directorate rotas within the Family Care Division that fall under your sphere of responsibility. To hold overall responsibility for ensuring that the gaps within rota's are covered appropriately. To negotiate with medical staff to agree cross cover within and between directorates. To ensure staff rotas are produced in an accurate manner following guidelines issued from the Rota Master(s Transcription and production, from digital dictation, of dictated reports/correspondence, using word processing packages, for the Consultant's team, which may include outpatient reports, discharge summaries, and other relevant clinical and non-clinical correspondence. Open and prioritise correspondence (which is often of a highly sensitive and confidential nature) on behalf of consultant ensuring that urgent correspondence receives prompt attention. Receive, manage, and prioritise telephone and personal enquires, complaints, messages and information from patients, relatives, General Practitioners, Consultants and other medical staff and external organisations on behalf of consultant and clinical team. Deal with enquiries relating to the medical and social welfare of patients and relatives in a sensitive manner, referring to medical staff or other Healthcare Professionals where appropriate. When responding to enquires, ensure that relevant guidelines or protocols are followed. To provide specific support to the Rota Master in General Paediatrics. To ensure staff rotas are produced in an accurate manner following guidelines issued from the Rota Master(s, The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

The role of the Medical Rota Co-ordinator is to provide a comprehensive administration and information service to the Division of Family Care. The role requires exceptional organisational skills and the ability to perform a wide range of specific duties. The post holder must be competent in spreadsheets, word processing, keyboard skills, communication, organisational and negotiation skills. An ability to understand the need for and to maintain confidentiality is essential. An essential part of the role is the ability to manage and prioritise own workload without direct supervision.,

  • Extensive knowledge and experience of Senior Administrative procedures and practices Previous NHS/
  • GCSE level 4 or above or equivalent level of skills in English Language and Maths
  • Experience OR demonstratable understanding of rota management
  • Experience of working on own initiative.
