Full Job Description

  • Providing a comprehensive secretarial and administrative support to the Head of Department and Senior Management Team

  • Efficiently managing and coordinating the Head of Department and CJ SMT diaries

  • Arranging meetings (both internal and multi-agency) and preparing and circulating supporting materials

  • Taking minutes/actions at various meetings; maintaining effective follow up systems to ensure deadlines are met and tasks completed in timely manner

  • Drafting professional correspondence and reports

  • Liaising and co-ordinating with HR regarding department recruitment and monitoring staffing levels within budgeted structure

  • Making travel arrangements

  • Dealing with purchase order requests and other financial monitoring

  • Receiving all manner of internal and external enquiries, using initiative to successfully resolve using tact and diplomacy
