Full Job Description

The post holder will be responsible for providing a wide range of administrative support for the Safeguarding Adults Team, working across both the Acute Hospital and the Community Health and Social Care Teams. A high level of concentration and communication skills is required as well as use of initiative in problem solving.
The post holder will be required to work across a number of locations within Torbay under the direction of the Head of Safeguarding Adult, Lead Practitioners and the Administration Co- Ordinator.

+ Support the Safeguarding Adult Team Administrative functions including the Mental Capacity Act 2005 and Deprivation of Liberty
+ Ensure all documentation is kept securely, and confidentiality is maintained at all times. Ensure all storage of information meets legislative and organisation policy and procedure
+ Support diary management of safeguarding team as requested
+ Take responsibility for ensuring that the Generic Safeguarding Adult, Mental Capacity Act and Deprivation of Liberty and contact numbers are answered and calls are signposted appropriately
+ Update the Safeguarding Adult Team trackers and any other identified data base requirements within the team as required by organisational policy and procedure
+ Mail: open (non-confidential), sort, log, distribute and prioritise for the team using judgment and experience to decide where documents are passed
+ Respond to emails in a timely and professional manner, maintaining relevant information and archiving correspondence as appropriate
+ Management of all secure computer files such as those for whole home investigations, staff email records, audio transcription etc.
+ Working within both clinical and non-clinical settings

The Safeguards Team is an experience multidisciplinary team consisting of social workers, nurses, Allied professionals and administrators.
Together we are passionate about protecting people living within our communities from abuse, neglect and human rights breeches and work closely with clients, staff working across the Integrated Care Organisation, as well as working in collaboration with our partners and stakeholders across Torbay and Devon to fundamentally protect people's human rights., · Support the formatting and storing of Trust policies, in relation to:
o Safeguarding Adults Policy
o Safeguarding Adults Whole Home / Large Scale Policy
o Mental Capacity Act 2005 and Deprivation of Liberty Policy

Responsibility for Finance, Equipment and Other Resources
· There is no financial responsibility attached to this post

Responsibility for Supervision, Training, Leadership and Management
· Attending regular supervision with line manager(s)
· Take responsibility for own continuous learning and development
· Ensure mandatory training is maintained and up to date
· There is no leadership / line management responsibility within this post

Information Technology and Administrative Duties
· Raise Helpdesk ticket for self and colleagues when required
· Accurately produce minutes and correspondence from a variety of sources including material from audio or manuscripts within agreed timescales
· Take clear messages and pass them promptly to the appropriate member of the team using own judgement on urgency
· Use the patient records system to enter client related information
· Retrieve and record patient information in line with service requirements
· Use Microsoft packages inclusive of Microsoft Teams and Excel Spreadsheets

Responsibility for Research and Development
· Support team members with the development of systems as required

· Work competently within current procedures for own working practices and, where appropriate, contribute to the development and implementation of changes to improve own working practices/service, policies, procedures and guidelines
