About The Role - Due to our continued business growth, we have an exciting opportunity to welcome a Sales and Purchasing Administrator to our team.

This is a Full-time position working from 0900 - 1700 5 days per week, with 30 minutes lunch break. Applicants must be able to provide details of right to work within the UK, if required.

Purchasing Administrator - Key Responsibilities

  • Processing customer orders via telephone and email

  • Updating and maintaining customer price lists

  • Implementing and maintaining customer purchasing portals

  • Process customers delivery notes, plan route and manage delivery days

  • Inform customers of any stock delays or shortfalls

  • Maintaining relationships with suppliers.

  • Raising and placing purchase orders with suppliers.

  • Overseeing the administration of the stock management systems from inputting new products and prices, through to processing delivery notes ensuring the database is maintained accurately.

  • Accurately maintaining stock levels and organising stock takes

  • Maintaining internal systems with supplier delivery dates and trying to improve delivery dates where possible.

  • Accurately process supplier invoices, matching them to purchase orders and delivery notes.

  • Ensure all invoices are coded correctly and inputted into the finance system in a timely manner.

  • Reconcile supplier statements and resolve any discrepancies or outstanding issues.

  • Prepare supplier payment schedules for review.

  • Maintain accurate and up-to-date records of all financial transactions.

  • Collaborate with internal teams to facilitate effective procurement processes.

  • Assist with month-end and year-end closing procedures.

  • Generate reports and provide analytics as required.

  • Contribute to process improvements and the implementation of best practices within the finance department.

  • Answer queries relating to purchases and outstanding orders

  • Handling incoming telephone calls/emails

  • Supporting with processing and administration around the office


  • Sales Administrator - Key Responsibilities
  • Preparing sales quotations

  • Processing Sales invoices

  • Handling customer enquires

  • Process and record complaints ensuring positive outcome

  • Data administration

  • Provide a customer contact point & business support for assigned contract accounts

  • Producing & updating sale & service reports

  • Manage & report on the new & cancelled account process

  • Manage & publish performance & sales data

  • Assisting Contract Managers by developing both existing and new customer accounts.

  • Handling incoming telephone calls/emails

  • Supporting with processing and administration around the office

    At least 2 years experience in sales and purchasing

  • Punctuality and excellent time management skills

  • High attention to detail

  • Exceptional communication and interpersonal skills

  • Strong customer service skills

  • A confident telephone manner and the ability to work well within a team and on their own

  • Proficiency in the Microsoft Office suite

  • Experience of Xero, Unleashed Inventory Management, Dext, A-Level or equivalent (preferred)


  • Experience:
  • Purchasing: 2 years (required)

  • Sales: 2 years (required)

    25-30K Full Time - dependent on experience
