Full Job Description

The Sales Support Administrator will play a crucial role in supporting Onnec's sales team to ensure smooth operations and efficient processes such as, assisting the Sales Operations Manager in supporting the Pre Sales & Sales Teams by providing administrative support to them for Tender and Proposal preparation stages of the Bid Process through to Opportunity being Won or Lost.,

  • Apply organisational and office management skills to support the Pre Sales & Sales Team in ensuring the smooth running of Pre Sales & Sales Office functions.

  • Provide a professional and helpful service to internal staff, supporting and encouraging their usage of the office systems, and provide additional administrative assistance when appropriate.

  • Provide a professional and helpful service to external customers and suppliers

  • Work within the Services Support arena to ensure customer contracts are up to date and the information accurately reflects the contract. 3rd party supplier contracts are maintained efficiently.

  • Make sure Supplier PO's are raised.

  • Process Sales Orders for the company, so Sales report can be compiled.

  • Manage the transition of a small opportunity from Sales to the Operational arena and onwards to project completion. Small projects have an Engineering Installation with a small element of Hardware associated to it.


  • Roles & Responsibilities:
  • To Process Orders on a live system

  • Create Small Quotes

  • To assist the Sales Operations Manager in all projects as required.

  • To be the first point of contact for incoming telephone calls for the Pre Sales / Sales Departments.

  • General office administration consisting of photocopying, scanning, shredding.

  • To assist in various administrative tasks, such as, Tender Document Collation

  • To assist (in times of absence) in various management tasks including production of monthly Pre Sales/Sales Reports and Internal Communications

  • Organising Kick off meetings and minute taking.

  • Inputting information in to a CRM database.

  • Assisting the Pre Sales/Sales team to ensure adherence to processes and procedures.

  • Involvement in co-ordination and handover of information where necessary to Operational teams.

  • Understanding commercial sensitivity when dealing with customers and applying commercial attitude in a reasonable manner

  • Ensuring all proposals, presentations and customer documentation is to a high standard and suitable for customer consumption

  • All information provided to be of a high level of detail and accuracy

  • Adhere to CRM Procedures as a basis to facilitate business processes.

  • Adhere to Sage Procedures as a basis to facilitate business processes.

  • To assist in the co-ordination of day-to-day system functionality, advocating appropriate use, while highlighting any non-compliance to the Sales Operations Manager.

  • To maintain the accuracy of the company database, ensuring the integrity of the data used as a marketing and telemarketing tool.

    Computer literate

  • Use of Microsoft products, especially a good working knowledge of Word, Excel and PowerPoint

  • Good Organisational skills

  • Good inter-personal skills & Communication skills
