Full Job Description

We have a great opportunity for a Scheduler to join our Scheduling Team working from our office in Milton Keynes.
As a Scheduler, you will oversee the scheduling activity of Atlas Workplace Service's engineering workforce for both planned and reactive tasks.

Reporting into the Scheduling Manager, you will be required to interact with the Engineering department to ensure shared goals and objectives are met, including engineer utilisation, effectiveness and productivity as well as first-time fix and reducing use of sub-contractors.

Principle Duties and Responsibilities

  • Manage schedules within CAFM system for the static engineering and facilities assistant teams to ensure they are fully utilised, and work is planned in for completion within the contractual and statutory timeframes set.

  • Plan and schedule all self-delivered PPMs to the relevant on-site engineer or facilities assistant depending on skill-set, availability and task duration ensuring work is planned in advance according to the annual PPM schedule and no service visits are missed to guarantee 100% statutory compliance.

  • Plan and schedule all self-delivery reactive task - emergency and non-emergency - to the relevant engineer or facilities assistant depending on skill set and availability, and in accordance with the agreed and contractual SLAs.

  • Liaise with customers and other operational delivery teams to ensure work does not disrupt the client's operations, by following the site-based permit and access processes and providing relevant notice.

  • Ensure all assignments and progress is recorded on the CAFM system, ensuring accurate information is obtained and entered to demonstrate progress to the client, providing an internal audit trail.

  • Assist with obtaining and uploading all relevant compliance documentation and PPM paperwork against work orders and ensure the CAFM system is populated with 'in date' service records/sheets.

  • Maintain strong and effective relationships with the team of engineers and facilities assistants to ensure tasks are carried out in line with schedules and any change requirements are fulfilled.

  • Ensure planned and unplanned engineering and facilities assistants leave is factored into any schedules and revisions are communicated to all necessary parties.

  • Ensure any work that cannot be completed on the first visit is rescheduled, with the client notified of new timescales and works booked in in line with site access procedures.

  • Capture and record overtime requirements and ensure all work outside of normal working hours is authorised.

  • Work closely with the central scheduling team to ensure any self-delivered engineering works outside of the static team's skills set are scheduled and managed by the appropriate party assisting with any access requirements and site inductions.

  • Support the hard services manager and laboratory manager with the management of the stock control process, ensuring any parts or materials, uniform/PPE and consumables are logged and tracked, requesting replenishment, and supporting with the liaison with suppliers to ensure there are no shortfalls to supplies onsite.

  • Liaise with suppliers on behalf of engineers, the Hard Services Supervisor and facilities assistants to obtain costs/quotations and to request purchase orders as required for parts and materials.

  • Ensure all deliveries are scheduled and all documentation (goods receipts) is filed appropriately within the CAFM system.

  • Issuing purchase orders for parts and materials in line with internal governance process, updating CAFM work logs and filing all purchase orders against work orders as per company procedures.
  • Build and maintain strong and effective relationships with the operational delivery teams across all service lines, including on-site cleaning, security and hard services supervisors to ensure service performance is joined up and support is cross-functional.

  • Work with the hard services manager and laboratory manager to ensure the skillsets of the teams onsite reflect the work required and these are up to date in the CAFM and Scheduling system.

  • Support with the capture of all costs associated with work delivery whether in normal working hours or out of hours, to ensure all work can be billed to the client effectively and profitably.

  • Support the hard services supervisor with engineering team objectives for engineer utilisation, effectiveness and productivity and job completion on first visit (i.e. First Time Fix).

  • Be responsible for the ordering and provision of engineering/facilities assistant uniform and equipment.

  • Provide performance reports to the Contract Director on a weekly/monthly basis.

  • Carry out any other administration tasks related to the contract as directed by your line manager.

  • Comply with all relevant Health & Safety Rules and regulations.

  • Contribute to the 'FM Team' culture.


  • GCSE in English and maths or equivalent


  • Essential Knowledge, Skills and Experience for this role
  • Experience of scheduling a workforce, preferably in a fast and dynamic engineering environment

  • Strong knowledge of CAFM scheduling software

  • Good understanding of skills/crafts and associated tasks as well as time taken to carry out tasks

  • Previous experience of an administration role in an operational environment is essential

  • Good understanding of statutory PPM process and compliance

  • Good IT skills including Microsoft Office - (Excel and Word)

  • Good written and spoken English and a good level of numeracy.

  • Excellent customer services skills
