Full Job Description

We are currently recruiting secretaries across several corporate practice areas in our London office. In this role you will provide high quality and efficient secretarial and administrative professional support to our teams.

Working alongside the secretarial team for the group, you will be able to demonstrate teamwork; the ability to prioritise, as well as work to deadlines and time pressures whilst maintaining excellent internal and external client relationships.

You will be able to build and maintain strong working relationships across all functions in the Firm, and at all levels.

What you will do :

Document Preparation : Preparing materials such as properly formatted legal papers, correspondence, minutes of meetings, and general forms.

Proof reading documents prior to distribution. Printing, scanning, organising and distributing documents as necessary.

  • Time Entry / Billing : Inputting team members' time entries on a daily basis. Opening new client and / or matter numbers and performs conflict checks;

  • demanding prebill selection of monthly bills for attorney review; making appropriate transfers, write-offs, and corrections;

  • applying retainers, on account fees, and on account disbursements for third-party billings; handling special billing requests from clients;

  • maintaining billing files; receiving, copying, filing and submitting client checks to Accounting Department; preparing client audit reports;


  • acting as a liaison with the Accounting Department on past due receivables.

    Scheduling : Scheduling appointments, including meetings, conferences and video conferences. Reserving conference rooms when necessary.

    Maintaining and tracking schedules and calendars for all attorneys.

    You may be asked to assist with other duties the Firm deems necessary and appropriate.

  • Exceptional organisational skills that reflect ability to seamlessly perform and prioritise multiple tasks with excellent attention to detail.

  • Strong interpersonal skills and the ability to build relationships with Firm-wide Partners, Attorneys, professional staff and clients.

  • Strong oral and written communication skills-ability to communicate effectively and accurately.

  • Ability to work independently as well as successfully in a team.

  • Degree or equivalent experience preferred, but not essential.

  • Proficiency with the MS Office (Word, Excel, PowerPoint and Outlook) applications.

  • Professional services experience desirable.
