Executive Assistant We're hiring! - Delivering distinctive client value by building strong relationships with internal and external contacts, developing a good level of understanding of the firm and how it operates, often acting as the first point of contact with clients, third parties, peers and direct reports of the executive.
- Proactively managing diary. Working with other meeting organisers to manage clashes, plan travel and preparation time, and anticipate travel requirements. Ensuring meetings are prioritised in relation to their importance and urgency, to make effective use of time.
- Organising internal and external meetings including all catering, equipment, and logistical requirements. Confirm meetings with clients in good time.
- Supporting Chief of Staff and ABS Leadership team in managing Leadership Governance, including planning logistics and material preparation for all leadership workshops, leadership offsite and roadshows.
- Supporting the ABS COO and UK based ABS leadership team members as required, including London office meeting rooms and arrangements, covering for EA absences, and other usual EA responsibilities
- Preparing for meetings - planning to consider executive needs for meetings, supporting and tracking the preparation of agenda, meeting content; printing meeting papers/agendas (if required), drawing attention early to any actions/preparation required.
- Managing regular team meeting, and supporting the central team action tracker
- Setting-up regular 1-1s with to discuss diary, email, and actions
- Planning and organising travel arrangements, including any visa applications, itineraries, and route maps (including paper backup in case technology is unavailable)
- Submitting and managing expenses and Amex logs accurately and within the firm's guidelines
- Producing documents as requested, in line with corporate branding, including typing, formatting, proof reading, printing and binding as needed Skills and experience that will lead to success
- Experience at board level, ideally within the financial services industry within a large professional services firm
- Excellent client service skills
- Outstanding planning and organisational skills
- Works under own initiative and has drive
- Sound decision making skills
- High degree of accuracy and attention to detail
- Actively prioritises work with ability to multitask and respond to changing priorities
- Hard working and conscientious, remaining calm under pressure
- Reliable, trustworthy and maintains confidentiality
- Strong communication skills - both written and verbal and with all levels of seniority
