Full Job Description

A Senior Administrator role has become available within the Pharmacy Directorate Team, which is part of the Medical Directorate.

The role will provide specialist secretarial and administration support and advice within the recently redesigned Pharmacy Team.

We are seeking a highly motivated and enthusiastic individual to provide and co-ordinate administrative and secretarial services to the team; including for example, the preparation of agendas and minutes which are often clinical in nature, such as Prescribing Groups; taking appropriate follow-up action as required;

  • Manage the electronic diaries and supporting with better management of in-boxes and prioritisation of e-mails for the Associate and Assistant Directors


  • Main duties of the job

    Main duties include:

    Support the work of the Pharmacy Directorate

    You will support the team with the management of projects including up-dating and managing the medicines management/clinical policy website, gathering information from systems such as; SharePoint, Open Prescribing, Eclipse Analytics and Eclipse Live, ePACT2, OptimiseRx and PRESCQIPP and undertaking enquires as and when it is necessary.

    Co-ordinate the work, take a lead on the administrative processes and provide supervision and support to the Pharmacy Directorate Team Administrators;

    Application of Human Resource policies for Pharmacy Directorate Team Administrators including recruitment, induction and sickness absence monitoring in accordance with policies and procedures;

    Management of the monitoring and efficient processing of emails received via the Pharmacy Directorate inbox, ensuring all mail is forwarded/actioned/filed in a timely manner. Where appropriate signpost enquiries that are not relevant to the Pharmacy Directorate;

    Manage the electronic diaries and supporting with better management of in-boxes and prioritisation of e-mails for the Associate and Assistant Directors;

    You will have access to confidential and sometimes contentious information during the course of their day-to-day work. It is imperative that confidentiality is maintained at all times
