Full Job Description

DAI is looking for a Senior Associate, Procurement and Logistics to join our busy Office Services department. This will be a full-time, permanent role based in London (United Kingdom). Please note that you must be eligible to work in United Kingdomwithout the need for sponsorshipto apply for this position.

The main purpose of this position is to work with DAI's external suppliers to provide an efficient and cost-effective procurement and logistics service to the business and provide guidance to employees, support the Director, Business Operations & Workspace - UK/EU by providing general administration support and to proactively manage the Facilities, Health & Safety, Environmental, and Office Administration functions of the business including the day to day operations of DAI's London office ensuring high standards are maintained and local legislation is adhered to.

Key tasks, duties and responsibilities:

Purchasing:

  • Manage day to day purchasing requests sent to the purchasing inbox.

  • Contact suppliers for quotes, as required.

  • Raise Purchase Orders in system (currently Oracle).

  • Place orders and track lead times and delivery.

  • Organise returns of DOA or incorrect stock.


  • Shipping:
  • Manage shipping requests sent to the shipping inbox.

  • Prepare shipments and paperwork as required.

  • Liaise with our chosen freight forwarder to organise global shipping.

  • Track shipments and keep stakeholders informed of progress.


  • Supplier Administration:
  • Work with the Director, Business Operations & Workspace to conduct annual supplier reviews.

  • Maintain a preferred supplier list for all European offices.

  • Complete reviews of potential new suppliers.

  • Complete new supplier forms, as required.

  • Liaise and communicate with suppliers concerning performance issues.


  • Facilities:
  • Set up and maintain the London office environment daily.

  • Meeting Room preparation and clearance.

  • Cleaning and replenishing kitchen areas and consumables.

  • Filling and emptying dishwashers.

  • Maintaining store rooms, managing consumables and putting away stock.

  • Distributing post and deliveries.

  • Carrying out key tasks and inspections including the reporting of maintenance requirements, Health and Safety inspections and ensuring facilities are maintained to a high standard.

  • First point of contact for suppliers, contractors and building management.

  • Management of outward mail.

  • Managing bookings, preparation and clearing of meeting rooms and hot desks for intermittent employees.

  • Organising refreshments and arranging external catering.

  • Assisting the ISO 14001 Environmental Management System process; monitoring and providing data on recycling, landfill waste, electricity consumption, etc.


  • General Administration:
  • Work with and provide absence cover for other members of the Support Services team.

  • Maintain a high level of customer service ensuring that expectations are appropriately managed.

  • To handle any reasonable job-related request, as required by the business.

    Minimum of 5 good GCSEs (grades A-C) including English and Maths.

  • Experienced practitioner able to work unsupervised.

  • Fluency in English language (written and spoken).

  • IT literate - especially MS Word and MS Excel.

  • Good interpersonal skills.

  • Customer awareness, pleasant telephone manner and ability to communicate at all levels.

  • Attention to detail.

  • Good organisational skills and a can-do attitude.

  • Flexible approach and ability to work under pressure.

  • Reliable, pro-active and can-do attitude.

  • Team-player., First aid at work certification.
