Full Job Description

  • Responsible for the day-to-day management of the operation and maintenance of all electrical and mechanical plants/services, soft services, small project works, and building performance to meet contractual outputs and objectives.
  • Act as the main point of contact for all stakeholder communications, engagement, and updates to promote clear lines of ownership and accountability.
  • Line management responsibility for the site team and indirectly for sub-contractors, ensuring contracts are staffed by fully competent teams and appropriate training, development, succession planning, and recognition arrangements are in place.
  • Deliver effective business communication through advice, review, leadership, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, monthly and ad-hoc reporting, and other publications.
  • Prepare, compile, and present business review meetings, ensuring data is accurate, meaningful, and clear.
  • Ensure contractually agreed SLA's and KPI's are met or exceeded, with necessary record retention in place demonstrating adherence.
  • Conduct regular reviews of operating procedures making recommendations for improvement with appropriate working practices and emergency/contingency procedures.
  • Ensure appropriate control systems are in place to ensure statutory, policy, and contractual commitments are met.
  • Ensure completion of incident and root cause analysis in line with reporting and incident processes.
  • Ensure liaison with building and estate landlords, external agencies, and other organisations in regard to the organisation of tasks, permits and necessary permissions as required to enable the delivery of PPM and reactive work orders where applicable.
  • Ensure the Risk Register is kept up to date at all times and present any risks in relation to building, people or business safety and security, and ensure that there are agreed actions or mitigations in place to reduce or remove the risk.
  • Ensure a 5 customer focus within all areas of operational activities, and that effective relationships are maintained with all stakeholders.
  • Complete regular building inspections to uphold floor etiquette and proactively identify and report issues that may impact the smooth running of the building and user experience.
  • Management of signage in line with agreed standards to ensure a professional representation of Corporate Services is provided.
  • Contribute to all staff newsletters and ensure key updates on workplace-related activities are being provided.
  • Collaborate with client stakeholders to drive a one-team ethos and positive representation of Corporate Services.
  • Manage the commercial process with sub-contractors for both planned and reactive maintenance, to include obtaining supplier quotations, gaining client approval and instructing suppliers to commence works. Do this whilst understanding and following the approved and preferred supplier procedure.
  • Adhere to annual contract budgets and accounts. Ensure a positive financial position and attend regular financial meetings and reviews including Goods Receipting, Work Order Management, Billing Applications, WebQuote, etc.
  • Ensure the provision of healthy and safe working conditions and that both the client and CBRE health and safety policy's and process is effectively implemented across both CBRE and subcontractors activities, and are regularly reviewed.
  • Ensure the effective management of CBRE internal logbook and site standard audits.
  • Suitably prepare and support the client's internal and external audit programme.
  • Work closely with subject matter experts to engage and drive innovation, sustainability, and best practices across all services delivered on-site, and ensure ideas and implementations are effectively tracked and documented.
  • Promote and maintain the core values of CBRE.
  • Provide absence cover from time to time.
  • Manage other tasks as directed by Senior Management.

    Essential A good basic education is essential, with at least GCSE passes in Maths and English or equivalent.
  • Training
  • Desirable Formal training in Facilities Management.
  • Desirable Formal Health and Safety training.
  • Experience
  • Essential Excellent PC based skills, with experience in Word/Excel and Outlook.
  • Essential Comprehensive understanding of H&S obligations in a building services environment.
  • Essential Previous experience of soft and hard services management in the Facilities Management Industry.

  • This position is responsible for the effective management of the day-to-day soft and hard services operations, ensuring the highest standards of customer service and operational performance are met. Line management and the ability to motivate and develop the on-site team, ensuring that the culture and standards are consistent with those established by CBRE is required. The successful candidate will be accountable for exceptional outcomes and will be operationally hands-on where necessary. This role will be split between the two regional offices in Reading and Basingstoke.
