Full Job Description

  • To complete month end processes and prepare an accurate set of Management Accounts and required Management Information for both

  • NMT and MNL.
  • Acting as a Finance Partner to support the organisation setting budgets and monitoring performance and forecasting against

  • these, whilst ensuing a high standard of controls and governance.
  • Supporting audit processes.

  • Management of Balance Sheet Reconciliation Process.

  • Management of Statutory/Regulatory Returns, including VAT, FEU and NSO returns.

  • Management of Finance Team Control Framework, including Finance Systems


  • You'll be responsible for:

    Preparation of management accounts

  • To prepare accurate monthly NMT and MNL Management accounts & reports according to time schedules and tasks agreed.

  • To complete designated month-end and year-end journal adjustments to agreed deadlines, including accruals and prepayments.

  • To complete assigned balance sheet reconciliations to ensure integrity and accuracy of financial reporting and security of

  • assets against fraud or theft..
  • Prepare and post monthly box office and PRS journal and associated reconciliations

  • Process any necessary stock transactions and liaise with retail on a quarterly basis to ensure that physical retail stock

  • reconciles to the management accounts and processing any adjustments as required.
  • Reconcile the NMT / MNL intercompany account and post the gift aid journals.

  • Prepare Management Accounts packs as assigned.


  • Finance Partner

  • Carry out monthly finance reviews with budget holders and assist budget holders in managing their budgets and provide them with

  • the necessary support to ensure expenditure is monitored on a regular basis throughout the year and that appropriate action is
    taken on a timely basis.
  • Support budget holders in preparation of annual budgets and forecasts.


  • To collaborate with the teams to identify key trends in income and expenditure by department / activity program and significant

  • variances from budget. To investigate unusual or unexpected departmental and activity results or variances and to bring these
    to the attention of the Head of Finance.

    Year End Audit

  • Preparation of schedules, for NMT and MNL, for yearend statutory accounts for audit purposes.

  • Support Head Of Finance to complete PBC schedules.

  • Act as point of contract with auditors during annual accounting audit, recording outstanding actions.


  • Management of Balance Sheet Reconciliation Process

  • Implement and manage a process to ensure all balance sheet accounts are completed in the require timescale and frequency as

  • agreed with Head off Finance.
  • Maintain the control documents, reporting the completion data to Head of Finance. Allocating owners to each rec and applying a

  • framework to agree frequency.
  • Act as Team expert to support team reconciliation owners to complete their accounts, ensuring a good standard of substantiation

  • is maintained.
  • Manage the review system to ensure all recs are reviewed by either Management Accountant, Senior Management Accountant or Head

  • of Finance dependent on risk profile and a summary version available for Finance Director review/sign off.
  • Manage review points to make sure they are completed on time.


  • Management of Statutory/Regulatory Returns

  • Maintaining a timetable to capture due dates for all statutory/regulatory returns and ensure they are completed, reviewed,

  • signed off an submitted within the timetable
  • VAT - complete VAT returns, ensuring all entries are correctly recorded and reconciled to the GL accounts each quarter.

  • Continue to monitor changes in the VAT rules that may affect The Glasshouse's reporting.
  • FEU - Review and sign off FEU returns, ensuring complete and accurate.

  • NSO - Maintaining a schedule of returns due with an owner identified, complete returns allocated to self.

  • Complete annual financial reporting and one off reporting to Arts Council England


  • Controls Framework and Procedures

  • To assist the Financial Controller to ensure that the organisations operate within the delegated limits of authority as set out

  • by their respective Boards (or sub-committees) thereof) and comply with statutes or other relevant regulatory requirements.
    Documenting the delegated limits and submitting for board review and sign off annually.
  • Implement and maintain a system for recording the control documents within the finance team, including process maps, procedure

  • notes, control points and any SLA with departments. Supporting the team to complete, maintain and work to the agreed
    processes/procedures, looking to identify improvements to controls and process efficiencies.
  • To ensure that controls, procedures, conventions of use and timescales for tasks are current and are properly documented.

  • To set up a framework for control for the finance system (Exchequer), including a central control for all mapping templates and

  • GL set up and changes.
  • To act at all times in accordance with the Company's published policies and procedures.

  • To ensure that the requirements of the Data Protection Legislation are complied with in carrying out the duties of the post.

  • To contribute to the Company achieving Best Value through raising standards of performance and improving efficiency.


  • Any Other Duties

  • To assist the Finance Director and Head of Finance with ad-hoc projects and costing exercises.

  • To undertake stand-in roles for other colleagues from time to time, as agreed with your Line Manager.

  • Substantial pre and post qualification experience and understanding of preparing monthly management accounts and carrying out

  • balance sheet reconciliations in a medium sized, fast paced organisation, Finance Partnering and Statutory Reporting.

    Skills and knowledge of:

  • Good knowledge and understanding of current, relevant accounting and regulatory framework and accounting principles, best

  • practice and VAT regulations.
  • Good organisational and problem-solving skills together with the ability to operate within tight reporting deadlines.

  • Good analytical, written & oral communication skills.

  • Friendly approach and the ability to work as part of a team and with staff at all levels of seniority within the organisation.

  • Analytical approach, accuracy and diligence.

  • Computer literate with high level of proficiency in MS Office products, together with good working knowledge of computerised

  • accounting systems.
