Full Job Description

The Senior Personal Assistant will provide comprehensive office and administrative support to the members of the Senior Management Team within the Blood Supply Directorate. The candidate will be responsible for the preparation of papers for meetings, taking minutes, researching the internet for relevant literature and co-ordinating travel, accommodation arrangements, diary co-ordination and communication with senior personnel within NHSBT. The candidate will also be expected to liaise closely with the other Senior PAs within the organisation. Respond to new demands in the role and build those responses into sustainable systems and activities., In this role you will be responsible for providing comprehensive and efficient Senior Personal Assistant support to the Director and / or Senior Manager(s). This will involve: Effectively manage one or more diaries, prioritising meetings/appointments, as necessary, ensuring sufficient work / reflective time. Organising conferences/events/training courses, including liaising with speakers, sourcing venue, inviting participants and guests and devising and sending details of confirmation of booking and joining instructions. Providing administrative support to NHSBT projects and interviews. Working independently, be able to work under pressure and exercise initiative to organise their own workload within the constraints of defined deadlines and changing priorities. Gathering data from a variety of sources, produce reports, analysis and recommendations for decision making, circulating regular and ad hoc reports in order to support service improvement and delivery of key outcomes. Working
collaboratively with the other team members to maintain an efficient service in the Admin Hub, especially in time of absence Developing a successful working relationships with Directors, Senior Managers, external agencies and key stakeholders, requiring tact, discretion, excellent communication skills, independent judgement and initiative to achieve the desired outcome, is an important feature of the role.
