Full Job Description

+ To participate in the supply of medicines to wards and departments
+ To assist in the receipt, unpacking and storage of incoming goods into the department
+ To investigate errors and discrepancies in orders, and take necessary action
+ To carry out stock control procedures within the department
+ To oversee storage and removal of paperwork kept for legal requirement, 1. To accurately use the computer system to issue stock items to replenish stocks on wards, departments and community clinics. This includes creating picking tickets and delivery notes for the required items.
2. To accurately assemble items on picking tickets ready for checking.
3. To accurately check items previously picked by another member of staff and pack appropriately ready for delivery to required areas.
4. To have responsibility for the top-up of drugs to a designated ward/department and to provide cover as necessary for any unavailable staff on their wards/department. To visit and replenish stock drugs to a pre-set level, ensuring stock is correctly stored and expiry dates are checked.
6. To liaise with the wards and stores technicians to resolve discrepancies with the automated ward cabinets.
7. To deal with enquires received over the telephone and through the Pharmacy Stores entrance, referring to Stores technicians if necessary.
8. To support the cycle counts for the omnicell cabinets to ensure that stock levels and re-order quantities are accurately maintained.
9. To help maintain stock levels by participating in stock checks and performing expiry checks, ensuring appropriate documentation is completed. Reporting any inaccuracies, investigating stock discrepancies and dealing with expired and short-dated stock.
10. To issue 'to follow' items for wards and departments daily.
11. To monitor and action requests and queries received in the distribution email box, including for 'ad hoc' items to wards.
12. To check and record environmental temperatures, referring to Stores Technicians in the event of any anomalies.
13. Check that all daily ward top-ups are completed and refer to the Stores Technicians in case of any problems.
14. To be responsible for returning excess ward stock to the Pharmacy Stores, checking the appropriate shelf life and confirming quantities.
15. Accept and sign the receipt for deliveries of Pharmaceutical products from suppliers, checking that the delivery is for the Pharmacy Department.
16. To support the appropriate receipt and storage of bulk IV fluids in the external IV stores.
17. Ensure that all delivery paperwork, i.e. delivery notes and invoices, are signed and given to the purchasing team for processing.
18. To be responsible for assembling and delivering IV fluids to the wards and departments based on picking tickets created from top-ups and wards requests.
19. Conduct IV fluids stock counts to maintain correct inventory levels.
20. To liaise with the store's purchasing team on IV fluids to ensure that orders are placed promptly and any to-follows are communicated to the portering team.
21. To support the relocation of Bulk IV fluids between the wards and department to help manage IV fluid shortages or to prevent wastage.
22. To unpack goods received and;

  • Check that items and quantities received match delivery notes and purchase orders

  • Check that items are in good condition, and tamper seals are intact

  • Check items have an adequate shelf life, referring to Stores Technicians for goods with a shelf life of 6 months or less

  • Check that prices match those on both the delivery notes and purchase orders, referring to Stores Technicians for any discrepancies

  • Sign purchase orders and delivery notes to accept goods received as stated above

  • Refer any discrepancies or queries to Stores Technicians

  • 23. To accurately use the computer to receive goods into the pharmacy store.
    24. To accurately file purchase orders and delivery notes in line with procedures.
    25. To maintain a clean, safe, clean and tidy working environment in all areas of Stores.
    26. To put away stock into the Pharmacy Robotic system, onto shelves in the Stores Area or send it to the Dispensary or Aseptic Department.
    27. To carry out daily maintenance of the Pharmacy Robotic system including dealing with minor system errors, adding barcodes and other duties as indicated by lead technicians.
    28. Responsible for daily waste disposal according to strict procedures.
    29. Carry out general duties within the stores/distribution areas as required.
    30. To ensure documentation is accurately completed and filed as necessary.
    31. Assist in the training of all new members of staff, Student Technicians, Pre-Registration Pharmacists as deemed necessary by the Lead Technician for Distribution and Procurement for all general duties.
    32. To act as a role model for new starters and junior staff.
    33. To attend departmental meetings, keeping oneself informed and communicating information as necessary.
    General:
    1. To attend promptly to all internal and external customers and provide a high standard of customer service.
    2. To be responsible for data accuracy on the computer system.
    3. To undergo training to ensure competence, including keeping up to date with mandatory and statutory training.
    4. To follow all procedures and policies in the department, including any other relevant duties in other areas, as may be required by the Director of Pharmacy.
    5. To maintain satisfactory personal performance and professional standards and achieve, where possible, agreed objectives described in the Annual Staff Appraisal system.
