Full Job Description

Policy Technicians are assigned to a broking team within their Operating Entity. Policy Technicians provide technical and administration support across their broking team with their interactions with clients, producing brokers and underwriters, specifically providing assistance with the production of policy/cover documentation. The Policy Technician will work in conjunction with other members of the broking team to create documentation that is legally compliant and meets business requirements. Senior Policy Technicians will have significant experience within the role and will be expected to train/mentor more junior members of staff., Planning/Reporting:

  • Manages assigned projects and contribute to other projects as required
  • Meets agreed targets
  • Participates in team meetings as required, reporting on business progress within their area of expertise
  • Provides relevant management information to senior management
  • Technical:
  • Assist in the creation of comprehensive broking, client and other types of documents
  • Checking of slips, quotes and indications to ensure accuracy
  • Ensure up to date records are maintained at all times on the Company systems for the teams
  • Interpret instructions and issues arising, and then implement actions according to policies and procedures
  • Produces reports/MI to inform decision-making and actions
  • Retains a high level of knowledge of policy wording / requirements etc. to provide advice and guidance
  • May assist in the review of Client application and renewal documentation to ensure that information presented is comprehensive and accurate to allow brokers and underwriters to quote/confirm appropriate cover.
  • Utilises specific references and systems, for example CRYTSAL and AXCO to ensure policy wording e.g. in relation to territory specific tax and legislative environments are adequately understood and appropriate.
  • Keeps informed of all regulatory and legal changes which impacts on the job role
  • Ensures up to date records are maintained at all times on the Company systems
  • Responds appropriately to urgent issues as they arise
  • Policy, Process and Procedures:
  • Works within parameters and uses relevant systems to ensure documentation/communications adhere to company procedure/compliance requirements and provide an adequate audit trail
  • Processes data promptly and accurately on relevant systems in order to support and improve high levels of client service/internal process execution and to facilitate informed analysis
  • Maintains appropriate client files, and oversees the prompt and accurate production of documentation to best meet client, company and regulatory requirements
  • Adheres to company policies and procedures and obtains necessary authorisations at appropriate points in the process
  • Environment, Customer Focus and Relationships:
  • Develops strong relationships with their Divisional teams
  • Responds to the team's requirements as appropriate
  • Provides a high level of service to clients and other third parties to promote a positive image of the Company at all times
  • Behaves with all clients (both internal and external) fairly and ethically
  • Shares information that could be beneficial to the Operating Entity/Group
  • Maintain any ongoing delegate authority contracts appropriately and cost effectively
  • People Management/Personal Development: The job holder has no direct reports.
  • Actively undertakes personal development to ensure up to date knowledge and understanding of best practice
  • Remains aware of external, industry, legal and regulatory developments etc to ensure practice and outputs are of a sufficiently high standard
  • Keeps informed of all legal and regulatory developments relevant to the Operating Entity/Group
  • Regulatory and Compliance: The Board of each Operating Entity requires the highest standards of corporate governance, operational excellence and financial reporting throughout the Group from all its employees. Specific responsibilities are listed below. Reference to team (below) is only applicable where the job holder has direct line management responsibilities:
  • Complies with all applicable, legal, fiscal and regulatory obligations in the form of policies and procedures
  • Ensures correct authorisation is obtained and processes followed when required by the Operating Entity and/or Group
  • Ensures performance, HR and T&C records are up to date and meet the Operating Entity and/or Group's requirements
  • Maintains accurate records and deals with correspondence appropriately
  • Operates in an honest, professional and ethical manner
  • Strictly adheres to the Group Employee Code of Conduct
  • Completes all relevant regulatory training

    Knowledge/Experience
  • Experience in a similar role is essential, which is likely to be as a policy technician or account handler in a junior role
  • Experience of working in a client facing environment
  • Good technical knowledge of FCA regulations as they pertain to insurance intermediaries
  • Excellent understanding of processes and procedures within the insurance market
  • Skills/Behaviours
  • Attention to detail with ability to produce accurate documentation
  • Ability to work effectively within a team and answer queries from less experienced members of staff
  • Prioritisation and organisational skills
  • Self-motivated, able to work independently and use initiative
  • Competent IT skills, including but not limited to Microsoft Word, Excel and PowerPoint
  • Ability to communicate effectively, both verbally and in writing, with internal and external stakeholders
  • Able to undertake and demonstrate competence in technical training, as required by the industry regulator
  • Willingness to study for professional examinations, GCSE's (or equivalent) including English and Maths essential
  • A level Grade A-C (or equivalent)
  • Progression towards gaining professional qualifications is desired, but not essential (CII)
