Full Job Description

We are a large reception / prescription team of 15 members over two sites. The Senior receptionist is responsible for the efficient leadership and direction of the reception team,ensuring all administrative duties are performed effectively and to therequired standard, meeting the objectives of the practice., a.Overseeingthe reception team and supporting operations of the practice, ensuring staffachieve their primary responsibilities b.Leadingthe reception team with the support and guidance of the Reception / Admin manager,supporting staff development, providing guidance and direction, ensuring staffare up to date with mandatory training c.Completingstaff appraisals / reviews as required d.Identifyingand delivering team training where required e.Compilingreception staff rotas f.Implementingand embedding efficient office processes and procedures to adhere to extantlegislation g.Coordinatingreception staff ensuring sufficient cover is provided for periods of leave andother staff absences h.UpdatingGPteamnet to reflect leave and other approved absences i.Providinginitial guidance and advice to patients who wish to verbally complain, The Current postion is for hours per week working over 3 days between Monday - Saturday - 8pm. The following are the core responsibilities of the Senior Receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels. The Senior Receptionist is responsible for : a. Overseeing the reception team and supporting operations of the practice, ensuring staff achieve their primary responsibilities b. Leading the reception team with the support and guidance of the Reception / Admin manager, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training c. Completing staff appraisals / reviews as required d. Identifying and delivering team training where required e. Compiling reception staff rotas f. Implementing and embedding efficient office processes and procedures to adhere to extant legislation g. Coordinating reception staff ensuring sufficient cover is provided for periods of leave and other staff absences h. Updating GPteamnet to reflect leave and other approved absences i. Providing initial guidance and advice to patients who wish to verbally complain j. Managing the phone / phone system k. Managing Tasks l. Managing the Pathology Inbox m. Working withing the reception rota. Secondary responsibilities In addition to the primary responsibilities, the Senior Receptionist may be requested to : a. Deputise for the operations / Reception and Admin Manager during periods of absence b. Partake in audit as directed by the audit lead c. Coordinate and produce meeting agendas and record the minutes of meetings d. Support the practice manager in the maintenance of the practice website and social media accounts e. Monitor and promote the use of the Friends and Family Test f. Champion continuous improvement, encouraging staff to participate and make suggestions for CI initiatives g. Assist with QOF targets h. Schedule and take minutes for the Patient Participation Group meetings

  • Can use Word and Excel
  • Is used to working under pressure

  • Have worked in GP practice before
  • Has Systmone Experience, 5 GCSE including Maths and English grade C (5) and above
  • Desirable
  • NVQ in Business and Administration
  • Leadership Qualification

    We are a large practice of 7 GP Partners, 1 Salaried GP, 7 member of the Nursing team, 15 receptionists, 5 administrators and 3 secretaries.
