The post holder will assist the administration management team in the co-ordination, organisation, and management of administrative aspects of the Referral & Booking Management Centre focusing primarily on the Community Diagnostic Centre recruitment, induction and ongoing training. Responsible for patients referred to the Trust, ensuring the provision of an effective referral and booking process to support several business units and clinical teams.
The successful applicant will be given specific training in all areas and follow an in-house training program that will equip them to become an integral part of the Administration Team.
A flexible and forward-thinking approach is needed to ensure the department meets the challenges of the constantly developing healthcare environment, with a focus on digital ways of working., The main duties covered in the role include:
+ To be responsible for the day-to-day supervision and induction of staff within the Referral & Booking Management Centre Community Diagnostic Team.
+ Monitor the induction and training of new members of staff.
+ Work with the Assistant Manager to allocate workload to team and plan weekly staff rota's.
+ Running a number of daily and weekly reports and checking that workloads have been actioned.
+ Support the Assistant Manager with Appraisals and ensure Core Skills for admin staff are up to date.
+ Supervise the daily activities undertaken by staff and ensuring accurate data input into systems.
+ Manage own workload by prioritising tasks accordingly in order to meet targets and deadlines .
+ Ensure that an effective and efficient service is provided to meet the needs of clients, patients and staff and other stakehlders.
+ Ensure compliance with Trust policies and procedures and all departmental work procedures .
+ Acting on any potential breaches and escalating to Assistant Manager/Manager/Waiting List Managers where appropriate.

+ Maintenance of personal files including holiday rotas and recording and monitoring staff sickness in accordance with Trust policy
+ To ensure clerical staff adhere to all Trust policies and procedures e.g. Patient Access Policy OP12, Confidentiality, Health and Safety and Security etc
+ Act upon own initiative regarding issues/problems/trends relating to day to day running of the service, reporting to Assistant Manager or Manager as appropriate.
+ To support the management team with appropriate and accurate statistical information as and when required.
+ To take the lead role within the Department for organising staff availability for, across all teams and taking the initiative to problem solve alerting the Assistant Manager or Manager to any difficulties in staffing levels.
+ To have responsibility to co-ordinate the development and delivery of training maintaining an efficient training record for each member of staff to ensure staff are comfortable and confident in their job role and able to provide an efficient confidential and effective service as a result of quality training.
+ To be responsible for monitoring all activities relating to the provision and maintenance of the Department ensuring maximum efficiency in the delivery of a customer focused service.
+ This role will involve spending some of the working week based at the Community Diagnostic Centre - Metrocentre.
+ The ability to work over a 7 day week 8am-8pm is essential.
