Full Job Description

We are currently recruiting for a SharePoint Document Controller to join our team. This role will provide support to the Development Directorate with the management of electronic filing on our construction projects on our document management system being responsible for carrying out document control administration tasks. These tasks will include auditing, reviewing, publishing and maintaining documents that assist with managing assets.

The successful applicant will have a knowledge of the construction industry and document control procedures. Additionally, the successful applicant will be confident to make decisions under challenging circumstances as well as the ability to work under own initiative with excellent time-management skills services being self-motivated with a positive attitude and the ability to work on own initiative.

Duties to include:

  • Strict management of the sourcing, retrieval, storage of electronic files on EDMS system - currently SharePoint

  • Migration of a current documentation from networks onto SharePoint.

  • Document control administration tasks, such as reviewing, publishing & maintaining documents.

  • Controlling access across the EDMS system.

  • Establishing workflows - setting and checking.

  • Reporting, as required.

  • Liaise with colleagues for updates on data captures and update systems

  • Provide support to the Building Information Manager and the wider Safer Buildings Department

  • Ensure information is held and saved in the appropriate locations.

  • Support in the collection and management of key building data, in order to assist with the governance and building safety management activities relating to our high-risk buildings

    Advanced Microsoft Office skills, including Word, Excel/spreadsheets, PowerPoint and Outlook.

  • Previous experience on DMS (Document Management Systems)

  • The ability to work across teams

  • Good problem-solving ability

  • Strong communication and presentation skills, Disability Confident
