Full Job Description
We have three main hospitals providing acute services to around 330,000 local residents. The organisation also provides specialist tertiary care for cardiac and haematology services, delivers community health services to over 445,000 residents including those in North Lancashire and hosts the National Artificial Eye Service across England. Working patterns such as: part time working, self-rostering, compressed hours, annualised hours, term time, reverse term time and flexitime working can be explored., The Stores Person will be responsible for the daily running of the Estates store's department. This will include working closely with the Estates department to meet the needs of the estates team
Manage the stock levels within the stores and any satellite storage facilities as required including ordering parts for jobs, stock replenishment and stock taking. Advise Estates staff on likely delivery times and alternative options to suit the needs of the staff and business.
The Stores Person will manage the stock effectively and efficiently to ensure the Estates team they have parts available as required, ensuring parts/stock are fit for purpose and value for money to create efficiency and optimise the time it takes from the start of jobs through to completion.
The Stores Person will be the champion of the stock and parts module in the store's system (QFM), ensuring processes and procedures are maintained and implemented across the workforce. The Stores Person will be instrumental in continuous improvement and will lead future improvements to the delivery of the service., 1
Carry out and manage stock takes and oversee quality audits to ensure targets are met to a high standard and relevant reports are created and sent to the relevant parties within Atlas.
Carry out duties associated with store records: i.e., updating the computerised stock control system, manual issue sheets, creating store manuals, stock Identification, and assisting with new software version updates
Organise own day-to-day work tasks or activities and plan and organise activities in conjunction with Maintenance Plans.
Undertakes the necessary associated clerical duties and maintains accurate records by using information technology and/or otherwise conventional record keeping and documentation by Digital copy format.
Follows policies applicable to own role and may be required to comment. Ensures that all policies and procedures are up to date and recommends any changes that are needed
Ordering and receipting of stock / nonstock items including the follow-up of orders, managing order disputes, returns etc. as and when necessary, and updating inventory management systems regularly
Manage all stock and review including the quality and price of items. Negotiate prices with suppliers due to the volume of stock purchased.
Carry out and manage stock takes and oversee quality audits to ensure targets are met to a high standard and relevant reports are created and sent to the relevant parties within Atlas, 1. The postholder will interact effectively with stakeholders both internally and externally adopting a customer-focused approach.
2. To ensure that up-to-date written and electronic records and activity data are maintained in accordance with Atlas and Trust Standards.
3. To inform the Relevant Estates Officer of equipment that is beyond repair and should be condemned.
4. To report as soon as possible all hazards, defects, and occurrences
5. To always ensure that all correct procedures for all transactions including signatures for goods picked up and all other relevant information are accurately recorded.
6. To ensure that confidentiality is always maintained in line with Atlas and Trust Guidelines.
7. To highlight any faults or defects in connection with equipment or environment to the appropriate Estates Officer
8. Liaise with the appropriate Estates Officer for the preparation and release of all goods required for projects/rollouts
9. Keep Estates supervisors and management aware of problems or otherwise any potential problems within stores i.e.: delays in shipments and stock procuring.
10. Ensure that any damaged equipment or materials delivered are reported to the appropriate Estates Officer and damage is recorded and actioned as per instruction.
11. Receipt and checking of all deliveries to the store and dealing with any associated problems, e.g. quality, quantity, and damage.
12. Assisting Procurement with problems regarding invoicing, price queries and goods receipting daily.
13. Organise the annual audits and stocktaking exercise for the works stores including the organisation and managing of staff and paperwork.
14. Accurately record details of each store's transaction for audit purposes.
15. Complete required paperwork for goods received in line with the Atlas Stores procedures.

25. Ensure the security of the stores during normal working hours, maintain a clear and effective system in place for out-of-hours booking out.
26. The stores' Persons primary core role is to support the Estates team in providing an effective and efficient operation and management of consumable and non-consumable stock within the estate's stores
27. Ensure that when centrally held equipment is borrowed by the trust, it is properly booked out and back upon return, and where appropriate, ensure it is checked/tested at the recommended frequency and maintained in good condition. All defects to be reported to the appropriate Estates Officer.
28. Work with the Estates Officers in order to identify and meet personal development objectives and training requirements.
29. Attend mandatory Trust training sessions associated with Health and Safety at work e.g. equipment moving and handling, fire safety, infection control etc.
30. Complete additional training that is necessary and desirable to further existing skills and knowledge.
31. To manage the store's system QFM stocks and parts module, ensuring all operatives are trained on how to request and use the parts allocation on the mobile devices.
32. Manage the stores development and training of holiday cover to ensure high standards are kept within the stores whilst absent.
33. The store person will be the champion of the stock and parts module in the store's system (QFM), ensuring processes and procedures are maintained and implemented across the workforce.

35. Keep accurate and complete paperwork and computer records of stock etc. in accordance with Data Protection and confidentiality.
36. Undertakes the necessary associated clerical duties and maintains accurate records by using information technology and/or otherwise conventional record keeping and documentation by Digital copy format
37. The postholder will be required to input goods received onto the Trust e-procurement system
38. The postholder will be required to run any standard reports from the configuration management database.
39. To undertake any research and audits required for the role
40. Research alternative products and suppliers for items routinely procured for the Estates department
41. To support the security of all goods held in stores.
42. Identify and implement improvements that will contribute to the ongoing commitment of ensuring a cost-effective operation. I.e., stock reduction, completing a full storeroom organisation and overhaul of the store's layout
43. The Stores Person will be responsible for the daily running of the Estates store's department. This will include working closely with the Estates department to meet the needs of the estates team
44. Manage and monitor the turnover of stock items and advise Estates Officer of any associated concerns.
45. Manage the stores office and warehouse's cleanliness and ensure all hazards are kept to a minimum or clearly visible to always ensure staff safety.

Flexibility
