Full Job Description
We are looking for a hard working and personable Student enquiries and timetabling advisor, to work within our Directorate of Education and Training, to support the smooth running of enquiries within the Course Administration unit.
The post holder will act as the first point of contact for all students, staff and visitors in the department. They will offer support to students on day-to-day matters such as timetable and room enquiries, working closely with the Enquiries and Timetabling Officer. They will also arrange meetings for staff, students and visitors, Course Administrators, and other colleagues in the Division of Education and Training.
In addition, there will be flexibility in the role to offer support across the Directorate as required to manage peaks in activity through the academic year.
We are a dedicated and dynamic team working to support students from all backgrounds as well as supporting various stakeholders and external partners. We are responsible for managing all aspects of the student journey, from enrolment through to students completing their course and receiving their awards. The Academic Hub is an important part of how we support students and teaching staff with their enquiries and timetabling requests., o Deal with student queries in person, by telephone and by e-mail, with appropriate level of sensitivity and confidentiality, redirecting queries to the relevant colleague when appropriate.
o Manage the student experience by remaining organised, accommodating to group and individual requests and presenting a professional approach.
o Maintain accurate and detailed records of all interactions with students in line with standard operating procedures and processes within the division.
o Use a range of communication skills to develop effective relationships with managers, teams within professional services and across the division, and other colleagues.
o Use developed communication skills with students who may be upset or have difficulty understand, and at times to give disappointing information to students.
o Calling students to arrange appointments.
o Manage the Academic Hub area ensuring that it remains organised, tidy and presents a professional environment.
o Providing up-to-date information on timetables and rooms for courses for students, updating the displays in the Academic Hub and student areas.
This is not an exhaustive list of duties and responsibilities, and the post holder may be required to undertake other duties which fall within the grade of the job, in discussion with the Team Manager / Service Manager.
This role would suit someone with previous Higher Education experience or someone with previous office support experience- who wishes to work across a wide range of varied and interesting student support and administration functions.
