Full Job Description

To provide high level, pro-active management and professional support to senior leaders in the School, specifically the Academic Workload Director and School Manager. The postholder will have direct responsibility for the day-to-day management of the School's Academic Workload System and will work closely with the School's Academic Workload Director and Student Administration Team to plan academic resourcing, data input and reporting of academic workloads.

The role holder will also support the School with statistical data analysis for reports and presentations and support other ad hoc data analysis work as directed by the School Manager.

What will you be doing?

  • Acts as first point of contact in receiving, prioritising and replying to queries via telephone, email and in person related to workload allocation and associated tasks, using sensitivity and discretion.

  • Research, collate, undertake statistical data analysis, write summary reports and organise material for inclusion in School committee papers and reports.

  • Edit and review documentation and user guides for the School's locally developed workload information system, e.g. user administration guides to help the student administration team and Workload Advisor to manage the system, and provide support, advice and training for local users.

  • Manage the data entry/import of all information relating to human resources data, teaching and research resource planning including running data checks (logic checks, missing values) and undertaking data cleaning.

  • Work with the School Manager and members of the Executive Team to manage workloads over the academic cycle; maintain information system design, ensuring relevant records are kept up to date, meeting both internal and external requirements, data is secure, accurate and accessible at all times, and all other records are handled appropriately according to university and GDPR requirements.

  • Support the teaching planning cycle including gathering information from a variety of sources to draft plans and arrange and manage a schedule of activities and meetings to support teaching resource planning, while also supporting the executive admin manager with tasks related to Hourly Paid Teacher contracts and Temporary Casual contracts.

  • Service relevant committees as agreed including establishing and communicating agendas and supporting papers. Preparing minutes and following up action points.

  • From time to time provide support to senior managers for one off projects in relation to any University initiatives or developments.

  • Support academic workload advisor in onboarding new staff, signposting to school policies and procedures related to workload.

  • Identify, in discussion with line manager, opportunities for continued professional development, relevant to both current role and own personal interests. Attend appropriate training sessions, network with colleagues to identify and share best practice.

    You have strong planning, problem-solving and organisational skills. With an analytical mind and ability to be responsive and flexible to meet dynamic needs of colleagues and stakeholders.
