Full Job Description

This is key role within Operations and has responsibility for the co-ordination of information through a number of different departments. Direct involvement with the manufacturing sites and the freight forwarders is a crucial part of the role working across different systems, including SAP and CRM. The daily upkeep and issuing of reports is also central to the role with communication being of paramount importance., · Providing cross-departmental support to ensure successful fulfilment of the order book.

· Stock checking and availability enquiries.

· Liaising directly with the JHT manufacturing sites co-ordinating requirements across the business.

· Booking and co-ordinating container and air-freight shipments from the factories

· Working closely with our nominated freight forwarder to ensure the timely movement of cross border goods.

· Generating weekly / monthly stock level reports and daily upkeep of sales reports

· Timely processing of customer orders within the SAP system.

· Liaising with the warehouse and installation planning teams ensuring that customer required dates are met.

· Creation of order kit lists and delivery notes in line with the installation diary and loading into CRM.

· Creation of purchase orders and the management of stock & arrival dates in line with the order book.

· Accurate goods receipt & dispatch of 3rd party purchase orders using the stock management system.

· Uploading 3rd party serial numbers into the CRM system.

· Creating accurate customer invoices & credit notes in a timely manner.

· Follow up and coordination of installation snagging.

· Working in line with company & departmental KPI's.

· Provide administrative support to the Supply Chain Manager.

  • Experienced user of SAP, Microsoft CRM and Microsoft Excel is desirable

  • Excellent written and verbal communication skills are essential

  • EXPERIENCE AND SKILLS:Experience of working in a busy office environment is essential, preferably within a customer service or supply chain area. The ability to deal confidently with customers, both internally and externally is important and the ideal candidate will also be computer literate with experience of SAP and CRM would be advantageous. The ability to build excellent relationships with internal and external customers is a must and the ability to deal with queries swiftly and accurately is also essential. The person should be able to work with a large workload, have the capability to prioritise accordingly and be able to work on their own initiative. In addition, the person should possess a high level of accuracy with regards to data input. They should be flexible to changing working methods and procedures and be able to respond quickly and efficiently to change.
