Full Job Description

Purpose of job: To provide support and personal assistance to the Administrator, Support Team at the Health and Communities Unit at the Greater London Authority., 1. To assist the Administrator with office duties:

  • To assist the Administrator (Support Team) with office duties:

  • To work as directed by the Administrator (Support Team) to support him to carry out the duties of his role.

  • To provide high-level administrative and secretarial duties to support the Administrator (Support Team). This would include responsibility for diary management, arranging meetings and for ensuring proper briefing in advance of meetings.

  • To take detailed notes and minutes at meetings.

  • To carry out administrative tasks such as filing, typing, answering the phone, photocopying and sending faxes and e-mail to support the Administrator (Support Team) in carrying out his role.

  • To support the Administrator (Support Team) in research.

  • To support in preparing reports, briefings and fact-finding.

  • To provide accurate and concise records. Liaising with staff, dealing with correspondence, scheduling meetings, diary maintenance and travel organisation.

  • To develop admin systems as required.


  • 2. Driving:
    The Support Worker(s) is/are required to do up to 3 hours of driving per day to enable the Administrator (Support Team) to attend work every day.

    3. To support the Administrator (Support Team) when attending:
  • Conferences, seminars and meetings in London, anywhere in the UK and abroad.

  • To assist in preparation for these events.

  • To carry equipment/bags at work and or at meetings, seminars and conferences:

  • To support the Administrator (Support Team) by carrying, setting up and operating laptop computers, overhead projectors, books, files etc.

  • To provide personal assistance:

  • To help the Administrator (Support Team) get in and out of the car, open doors, and assist him with his frame, scooter, wheelchair or walking stick.

  • To assist him moving around at the workplace and elsewhere.

  • To help during lunch and to prepare tea and light drinks.

  • Any other duties as required enabling the Administrator (Support Team) to carry out his duties.


  • Other Information:
    The Support Worker(s) is/are required working flexible hours that may include evening and weekend work.

  • Have knowledge, experience and ability to use standard office computer software proficiently, including Windows XP Professional and Microsoft Office Professional, word-processing, spreadsheets and databases as well as other equipment such as laptops and overhead projectors.

  • Have a high level of demonstrable data entry and administrative skills in order to assist the Administrator (Support Team) in carrying out his duties.

  • Have a clean driving Licence.

  • Be aware of disability issues, show sensitivity and an eagerness to learn.

  • Have well-developed organizational skills, and the ability to work as directed by the Administrator (Support Team) accurately and to tight deadlines.

  • Engender and maintain trust and confidentiality in the provision of support for the Administrator (Support Team). The policies on confidentiality of the Greater London Authority must also be observed at all times.

  • Be reliable and punctual.

  • Show evidence of effective personal and written communication skills, with the ability to provide clear and accurate information to the Administrator (Support Team).

  • An understanding of the commitment of the Greater London Authority to equality of opportunity and valuing diversity and the ability to translate this into action.
