Full Job Description

To ensure all routine and/or urgent appointments are effectively and successfully booked within a prompt timescale as appropriate, and a proper record is maintained.
To manage the Outpatient Waiting List along with two colleagues and book appointments as appropriate, validating errors and monitoring trends. Creating outpatient waiting list entries and adding referrals in a timely fashion.
Monitor outpatient utilisation reports and data quality issues pertaining to outpatient clinics. Assist the Ops and Performance Manager in improving outpatient utilisation.
To action ad hoc clinic changes for the Admin Team.

4. Monitor ERS, referrals and Advice and Guidance requests.
5. To action ad hoc clinic changes for the Admin Team.
6. To maintain accurate and up to date internal computer systems and to retrieve and generate information to assist in the effective organisation of all patients/customers in accordance with local and national policies and targets.
7. To undertake general office duties such as typing, photocopying and uploading/downloading information to/from external agencies efficiently and effectively. To review stationary levels and inform appropriate person when necessary.
8. To maintain efficient office management system/procedures to enable the department/clinical team to optimise their customer/patient care by ensuring that the data entered onto the systems is accurate, complete and up-to-date, identifying issues and acting accordingly.
9. Support new team members by demonstrating and explaining routine dept practices and procedures, undertaking appropriate training and development with new and existing staff ensuring standards of practice are maintained at all times.
10. Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include EPR, CRRS, Choose and Book and Insite reporting.
11. Provide appropriate cover in the absence of other members of the team.

An exciting opportunity has arisen for an enthusiastic, reliable and highly motivated individual to join our dedicated team at University Hospitals Coventry & Warwickshire, as a band 3 Outpatient Waiting List Co-ordinator.
You must have experience of managing an outpatient waiting list.
You will be part of a large clinical team providing a specialised, comprehensive and patient-centred clinical administration and secretarial service to the Trauma and Orthopaedic Team in accordance with department and Trust guidelines, policies or procedures.
It is essential the successful candidate enjoys working with people and has a genuine interest in patient care. You must have excellent communication and organisational skills, work well as part of a team, but also have the ability to use your initiative and work individually.
