Full Job Description

As a Talent Operations Advisor you will work closely alongside the Talent Operations Manager, supporting the business rolling out change management, new project incentives, improvements within the business and general data administration.

You are a crucial part in maintaining our high performance and helping to continue to build an agency which includes some of the best people in the industry.

In this fast paced and environment you will act as a subject matter expert within the business, owning and developing our Training Academy, supporting the upskilling and training of team members and being the first point of contact for Agencies in terms of escalations.

Although the role is influenced by the day-to-day admin, you will have exposure to all areas of our Talent team and will be encouraged to build on new ways on improving our processes to promote effective change.,

  • Approvals - to support the manager with approvals of changes completed by the team within Smart Recruiter and Career Settings daily. Feeding back to your manager on any trends in failed processes to up skill team members accordingly.

  • Project Management - to support with the management of ongoing projects, being the main point of contact, allocating workload, and updating project plans accordingly. To support with the overall management and at times manage projects independently on an ad hoc basis.

  • Escalations - to be the first point of contact for any media escalations. Supporting the talent advisors / partners with their initial concerns, resolving where possible prior to further escalation.

  • Subject Matter Expert - to be the subject matter expert in multiple fields (including RTW), rolling out frequent changes, keeping abreast of changes in legislation and rolling out refresher training proactively.

  • Training Academy Expert - being the owner of the Training Academy. Organising content, rolling out additional training and ensuring refresher training is provided to all team members on a yearly basis.

  • Reporting - to run all essential reports within Media including financial reports, expired documentation, RTW, etc.

  • Subject Matter Expert - Independently managing specifically assigned ad-hoc payroll account and BAU queries / activities. (acquisitions, problem solving, absence cover)

  • Team support - overseeing daily tasks and activities through to completion such as the daily processing trackers, project support trackers ensuring activities have been monitored and completed

  • Legacy benefits - being the expert with legacy benefits within Media, ending appropriate communications and the main point of contact for ongoing queries.

  • New starters (team) - managing any new joining team members, their induction and mandatory training. Liaising with the training academy SME to ensure mandatory training is completed in week 1.

  • Leaver process - managing leaver process ensuring all leavers have returned equipment

  • Documentation Creation - supporting the creation of processes, process maps, visio documents and user guides as / when required

  • PGD - to manage the ongoing reviews with PDG regarding tasks, volumes and opportunities

  • Kick off meetings - to support the ongoing Kick off meetings, creating content and presenting to the team as/when required

  • Change management - to champion and support the business with change management ensuring changes are rolled out successfully within the business.

  • Actively working as a role model within the business, providing subject matter expertise to the team

  • Building strong relationships at all levels both within the Talent team and the wider agency ensuring that each query is dealt with in a sensitive manner

  • First point of contact dealing with various ad-hoc employee queries - in person and via email, resolving issues in a timely manner and/or escalating where necessary (Payroll, Benefits, Holiday, Sickness, Line Manger through to Grievances and more)

  • Full ownership of the onboarding process ensuring our new joiners have an exemplary start to their journey at Publicis Media

  • Processing and managing all new joiner paperwork requesting employment references, tracking and uploading employee documents (contracts, visas, payroll info), then handing over to Payroll.

  • Processing and managing the full leaver process

  • Management of our systems ensuring that joiners/ leavers and changes information is up to date and accurate across Publicis Media.

  • Monitoring employee absence through our system and ensuring all employees are logging absences and highlighting to Talent Advisor where necessary

  • Coordinate and administer the probation process from start to finish and escalating to Talent Advisor where needed (extensions and probation failures)

  • Ensure that we are compliant with our right to work documents by recording passports and visas and highlighting to Talent Advisor for upcoming expiry of visas

  • Work with Talent Operations to ensure integrity and accuracy of data and systems, and all employee documents/records are compliant, up to date and accessible online (contracts, passports and visas)

  • Input all invoices and POs accurately in a timely manner

  • Support on Talent projects as and when required, general ad hoc tasks to support wider team & up skill personal experience

  • Supporting the Talent Advisor with family leave and advising where necessary on the process and policy

    An understanding of HR, whether through studies or work experience

  • Ideally CIPD qualified although not essential

  • Ambitious to develop a career in HR

  • Enthusiastic with a can do attitude to get stuck in with a variety of tasks

  • A passion to provide an excellent service for our people

  • Detail orientated and organised with the ability to be able to handle a varied workload

  • Able to multi-task with a strong ability to prioritise tasks

  • Able to work under pressure and adapt to ever changing tasks in an agile manner

  • Excellent written and verbal communication skills

  • Confident with using Microsoft office - Excel, Word, PowerPoint and Outlook

  • Excellent attention to detail

  • Previous experience using HR systems and experience of HR database is desirable
