Your focus will be on duties and responsibility which includes providing administrative support to ensure the efficient operation of the Health Safety & Wellbeing Team. This busy team works to promote the safety and wellbeing of the Department's staff, visitors and contractors.
Working as part of Integrated Corporate Services Team you will be supporting both the Department for Energy Security and Net Zero and Department for Science, Innovation and Technology.
You will support the team through a variety of tasks related to organization and communication. The role scope includes ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner. You will assist the Head of Health Safety and Wellbeing in making the best use of their time by helping to prioritise their mailbox and diary commitments.
Above all, the successful applicant must be confident to communicate with staff and stake-holders at all levels and effectively prioritise a demanding and ever-changing workload. Our Health Safety and Wellbeing (HSWb) team provides information, tools and resources to help keep all staff safe and ensure legislative compliance. Our staff's safety is central to all of the activities that we undertake as a team. We're a team of eight led by the Head of Health Safety and Wellbeing., + Provide administrative support assistance, including on-going and forthcoming specific project work.
+ Assist with and carry out Display Screen Assessments (DSE) and Expectant and New Mothers Assessments.
+ Organise and maintain diaries and make appointments including key committee meetings.
+ Organise meetings and venues ensuring the Head of Health Safety and Wellbeing is well prepared for meetings.
+ Deal with incoming email, with a particular focus on the team mailbox, as well as supporting the Head of Health Safety and Wellbeing with their mailbox management and prioritisation.
+ Assist in collating and recording of data relating to work carried out by the team which will include maintaining and developing databases and electronic filing.
+ Assist in the preparation of reports, letter and document drafting and compiling meeting minutes.
+ Prepare for the quarterly Health & Safety Committee Meetings, including preparing the agenda minute-taking and circulation.
+ Assist in completion of regular reviews of guidance documents and desk instructions.
+ Liaise and work collaboratively with colleagues, other government departments and agencies and external suppliers in relation to the team's work programme., This vacancy is using Success Profiles (opens in a new window), and will assess your Behaviours, Strengths and Experience.

Office attendance
