Full Job Description

This is a great opportunity to join a creative and welcoming team to support our provision in Central London.

We are looking for a part time administrator to join our the Central London Arts Psychotherapies service.

This administration role will support our senior administrator and the Arts Psychotherapies teams who sit across inpatient, community and rehabilitation services across Kensington, Chelsea and Westminster.

Due to the team being spread across different sites there is a request that the admin in role may work from the Gordon hospital and Woodfield road site., 1. Toberesponsibleforthedaytodaymanagementoftheofficeandthedevelopment, implementation and maintenance of high-quality office practices and procedures to ensure that all non-clinical requirements of the team are met.

2. Todealwithtelephonecalls, correspondence and direct contacts with clients and other internal or external agencies in an appropriate and professional manner, using judgement and discretion where necessary andto refer complex matters or matters relating to clinical risk to relevant senior members of staff.

3. To preparedocumentsby copyoraudio typingusing Microsoftofficesoftware (letters, memos,reportsetc.)forapprovalasdirected,ensuringthatallpoliciesandprocedures are adhered to.

4. Tobefullyconversantwithcomputerpackages,promotinggoodpresentation,including word-processing and spreadsheets.

5. Toarrangemeetingsandtrainingeventsfortheteamasandwhenrequired.

6. Toactassecretaryatmeetingsifrequired,takinganddistributingminutesasappropriate.

7. Tosetupandmaintainaneffectivefilingsystemforthedepartment.

8. Totakeresponsibilityforensuringthatadequatestocklevelsofstationeryandotherclinicalequipmentaremaintainedatalltimesasrequiredandorder/procureregularlyasneeded.

9. Tomaintainacentralrecordofannualleave,sickness,studyandauthorisedand unauthorised absences when required.

10. Toensurethat therecordofavailabilityofstaffonadailybasisisupdatedforallstaff.

11. Tocarryoutarangeofadministrativetasks(post,photocopying,takingmessages,etc)

12. Toliaisewithinternalandexternalsuppliersandensurethatadequatestocklevelsofstationeryandothernon-clinicalequipmentaremaintainedatalltimes.

TheAdministratorwillberesponsibleforprovidingafullrangeofsecretarialandadministrative dutiestosupporttheeffectivedeliveryofahigh-qualityservicebytheCentral London Arts PsychotherapiesService.Thepostholderwillneedtodevelopanunderstandingoftheserviceobjectivesandsupportthearts psychotherapy and arts in health servicestaffincarryingouttheirduties.Thiswillrangefromdataentryinrelationtoreferrals, generaltyping,takingcalls from clients,arrangingappointments,organisingarts therapyfiles,distributionofpost,arrangingmeetings,stock-taking and procurement,receivinganddisseminating informationandtheprovisionofareceptionistserviceinordertoenabletheteamtocarryouta rangeofclinicalactivityasquicklyandeffectivelyasisrequired.ThispostwillberequiredtocontributetoclinicaldatamanagementandauditworkincludinginvolvementincaseallocationdutiesasinstructedbytheOperational and ClinicalLeadsandSeniorServiceAdministrator.
