Full Job Description

An exciting opportunity has arisen to work as an IBD (Inflammatory Bowel Disease) Team Administrator within the Gastroenterology service.
The IBD Service at present is run across three sites, St Mary's (SMH), Charring Cross (CXH), Hammersmith (HH). The post is a pivotal role in ensuring smooth running of the administrative responsibilities associated with the inflammatory Bowel Diseases (IBD) service as well as supporting in delivering of the RTT standards of Gastroenterology IBD service, appointments scheduling, managing patients on IBD PIFU pathway.
The role involves working closely with the admin and clinical team including Nurses, Consultants, the performance and validating team as well as our patients. The post holder will be required to provide high quality administration services to a wide group of patients and work collaboratively with the rest of the team to ensure tight deadlines are met and patient pathways are managed in accordance to the RTT policy.
We are looking for a highly motivated individual who wishes to progress their skills further; the Trust provides various excellent training programmes to support career progression as well as mentorship opportunities from different staff groups to support your learning and development needs., + Manage all correspondence, typing reports, agendas, minutes of meetings for the designated team.
+ Arrange meetings for the team as necessary, managing room bookings and materials required.
+ Receive post and deal with routine correspondence and undertake follow-up action as directed by the unit manager or team leader.
+ To receive and respond to queries from external parties, patients and relatives, or other departments, escalating more complex queries to the relevant member of the team.
+ Prioritise, plan and organise daily workload, ensuring that daily tasks and ongoing workloads are prioritised and completed within agreed and acceptable timescales, ensuring the ward manager is informed as relevant of any changes in working pattern.
+ In charge of managing and triaging IBD nursing email account.
+ To deal with patients, nurses, doctors and Admin staff queries in a timely and professional manner.
+ To support any changes to clinics as and when necessary, including cancelling, modifying or rescheduling clinics.
+ Provide administrative support for the clinic, including clinic correspondence or clinic queries.
