Full Job Description

We have an exciting opportunity for an efficient administrator to support in our Community Division clinical teams.

The successful candidate will have good organisation and people skills, be computer literate and have the ability to work with limited supervision.

The post holder will provide a comprehensive and high-quality administrative support service.

This is a community clinical support role, there is an expectation for the successful candidate to be flexible and support across the Community Division.

The successful candidate will have the ability to support service users whilst being professional, empathetic and understanding.

Attend monthly supervisions with line manager

Attend weekly admin team catch up meetings

Answering the office phone to service users, transferring calls and taking messages for clinical staff.

Processing clinical referrals for the service by use of NHS.net and RIO system.

Updating service user care records and ensuring information is accurate and up to date.

Processing and formatting clinical letters to send out to service users and other professionals.

Minuting safety huddle minutes and team meeting minutes

Ordering office supplies and service resources from SBS/Supply chain

Cross cover within service to ensure service delivery continues during periods of staff absence

Provide an administrative, secretarial and clerical service to support the Team members, ensuring that letters, memos, reports are accurately produced within agreed timescales, data is input to required standards, and an effective filing and retrieval system is maintained.

Effective liaison with multi-disciplinary staff/patients/carers/outside agencies ensuring accurate information is communicated as and when required, including reception/switchboard duties dealing with enquiries from clients and the public.

Responsibility for the processing of incoming and outgoing mail, including prioritising, sorting and action as necessary

Responsibility the retrieval and maintenance of patient records.

Responsibility for the maintenance of client database including the collection of statistics.

Arranging, when required, meetings and taking minutes, ensuring accurate transcription and distribution.

Ensure appropriate records are maintained as directed by Line Manager.

Contribute to the ordering of stationery supplies and associated procedures

Participate in the provision of cover and support to colleagues as required.

Participate in the local induction process for new staff.

Support individual's equality, diversity and rights.

Contribute towards service improvement initiatives to enhance quality of patient care.

Provide information and support to service users/carers as appropriate.

Contribute to the continued improvement and quality of the Administrative Support Service.

Recognise and respond appropriately to urgent and emergency situations

Understand and adhere to Trust policies, procedures and guidelines.

Report any concern regarding patient care to line manager.

To undertake any other delegated duties as appropriate and commensurate with the post.

Participate in regular supervision, engage in reflective practice and be committed to continued development.

Develop own skills and knowledge and contribute to the development of others.
