Full Job Description

  • Main point of contact for the Global Sales, Conference, Marketing & Consulting team members.
  • Provide extensive administrative and clerical support to the Senior Commercial Assistant, SVPs and VPs in Sales, Conferences, Marketing, Consulting and Business Development teams, including correspondence, presentations, and diary management.
  • Organise and support meetings, including scheduling, booking venues, catering, preparing agendas, collecting and distributing documents.
  • Assist the Senior Commercial Assistant in organising internal sales events/offsites, social activities, Christmas parties, etc.
  • Organise travel and accommodation arrangements for the Global Heads, SVPs and VPs in Sales, Conferences, Marketing Consulting and Business Development.
  • Prepare expenses for the Global Heads, SVPs and VPs in Sales, Conferences, Marketing, Consulting and Business Development teams.
  • Monitor licensing redistribution issues on a regular basis using IT equipment to track, report problems and run further in-depth reports as required for global sales team.
  • Oversee support queries from the teams and ensure they are dealt with efficiently.
  • Weekly update of absences and business trips for the sales teams.
  • Making sure new starters are correctly set up in the company system.
  • Use NetSuite to assist with invoices for conference registrations and suppliers.
  • Assist with the global uploads of meeting reports.
  • Produce the monthly Town Hall in the background to the live meeting.
  • Administrative support i.e. filing, stationary supplies.
  • Ac-hoc requests when required.

    Strong computer skills (Microsoft Office Suite - Outlook, Word, PowerPoint, and Excel)
  • Highly organised and efficient with experience prioritising effectively to meet deadlines
  • Resourceful and logical thinker with excellent attention to detail
  • Outstanding communication skills and ability to build rapport at all levels
  • Ability to maintain confidentiality and exercise discretion
  • Proactive approach with the ability to apply initiative and work independently
  • Flexibility to manage extended hours as needed to meet event deadlines
