Full Job Description

  • Extensive diary management and meeting coordination (room bookings, printing confidential materials, preparation of materials, and ad-hoc administrative duties)
  • Coordination of flights, tickets, FX, accommodation, and ground transportation
  • Expense processing using internal Nomura systems and Amex reconciliation
  • Invoice processing and approval of project invoices
  • Telephone duties including comprehensive message taking and screening calls
  • Providing absence cover to other team members for holidays
  • Printing very confidential material and collecting currency from the service center
  • Preparation and distribution of papers ahead of committee meetings
  • Checking bankers in for flights
  • Maintaining a log of holiday and planned/unplanned absences for the team
  • Expenses management and processing receipts efficiently and in accordance with Nomura's policies
  • Ad-hoc administrative duties
  • Setup for new joiners
  • Acting as a first point of contact for senior bankers, clients, and colleagues, fielding queries and responding to fast-moving issues
  • Reacting to urgent client requests
  • Opening calls/video conference links when required
  • Arranging and liaising with couriers
  • Collecting clients from reception and escorting them to meeting rooms, Culture & Conduct

    This is a Team Assistant role for the Investment Banking division supporting MDs and their direct reports. Given the nature of the role, the person needs to think quickly to prioritize urgent tasks and display good time management. The candidate should demonstrate the ability to use initiative and be resourceful in a busy, demanding environment. Previous IB experience would be beneficial., Excellent verbal and written communication skills
