Full Job Description

The O&M Design & Implementation Team is a team of globally based O&M experts who design & implement maintenance strategies for RWE Renewables future offshore wind pipeline. The Team Coordinator will provide front-line guidance & support to fundamental administrative tasks, supporting the team to effectively & efficiently deliver the required scopes & services to the business.,

  • Manages documentation management system on behalf of the team including access and permission tracking

  • Ensures consistency in documentation which is utilised across the team, creation, and management of standardised material such as weekly and monthly reporting, SteerCo meeting packs etc

  • Manages, maintains, and supports in the delivery of all team onboarding material with input and support of the wider team and central functions

  • Creates, implements, and manages global conference calendar across the team including attendance, sponsorship, and general facilitation

  • Creates, implements, and manages tracker and overview of all crucial team deadlines including project milestones, upcoming events & general activities that may impact business continuity & delivery

  • Assists the team in preparation & securing any travel arrangements including travel, hotels, events etc - general business travel/meetings/training

  • Supports team management in developing, delivery and tracking of necessary training across the team including HSE and technical training

  • Supports in the preparation & delivery of weekly, monthly, and quarterly team meetings delivered in virtual and face-to-face settings

  • Help in the procurement of any equipment required to enable the team to deliver their scopes, such as IT equipment and PPE

  • Assists management with the procurement of contractors by raising, tracking & closing out PRs and all other associated documentation, including timesheet management

  • Support management to all budget administrative tasks such as raising, tracking & closing out of PRs within SAP, as well as monitoring monthly spend verses forecast

  • Organising and supporting project meetings with internal and external stakeholders, You will be required to work Monday to Friday, 37 hours per week, with some flexibility in working hours and arrangements.

    Previous experience in a similar or transferable administration or team coordinator role

  • Knowledge and experience in using office administration systems such as SAP, Microsoft Office, Excel, PowerPoint, and Database management

  • Advanced communication and networking skills at all levels

  • Enhanced verbal and written communication skills necessary to liaise with both finance and operational colleagues

  • Ability to prepare project information for senior management audience using appropriate media

  • Ability to work within a team, with a positive and practical approach to achieving goals

  • While a basic Offshore Wind understanding is desirable, it is not a must-have

    You will ideally be located within commuting distance of our RWE Renewables Swindon or London head offices. Travel will be required to the Hamburg office or project sites on an ad-hoc basis, in line with team and project demand.
