Full Job Description

The Team PA will demonstrate a keen attention to detail and the ability to deliver an exceptional standard of support to senior stakeholders within the Portfolio.

Operations and Property Management team, acting as an ambassador and first point of contact for key members across the wider business.

The individual will understand, support and contribute to the delivery of our Enterprise priorities. They will be proactive, adaptable and responsible for prioritising their own workload whilst managing the requirements of their team in a timely and responsive way.,

  • Deliver a consistently high standard of PA support to the Head of Portfolio Operations (HOPO) and their direct reports and wider team. Including anticipating the needs of the team

  • Manage complex diaries using initiative and understanding of stakeholder requirements to anticipate and proactively resolve conflicts and ensure that stakeholders are appropriately prepared for meetings.

  • Creative and strategic diary management is a priority.

  • Ability to proactively forward plan around internal deadlines and understand the reporting cycle of the wider business including protecting diary time to prepare and assist in collating information that will be required.

  • Manage inbox and action emails as required by stakeholder

  • Develop awareness of the Enterprise and understand the priorities of the SBU and the challenges which may arise

  • Book and manage national, and where necessary, international travel arrangements, including but not limited to trains, taxis, flights, ensuring efficient use of time and minimal expenditure in line with TCE policy and always considering ways to reduce costs and carbon emissions

  • Draft agendas, arrange pre-meets, source briefing documents and relevant background information ahead of meetings

  • Attend internal and external meetings, take minutes and/or actions and ensure they are distributed in a timely manner and followed up accordingly

  • Organise and lead on the planning of internal and external events. This may include venue finding and event logistics management, as appropriate to the role

  • Where appropriate, review and improve processes to ensure an optimal service is delivered to stakeholders. Support and role model any new initiatives that are launched to the business areas.

  • Provide professional first point of contact for client/customer interaction on behalf of the stakeholder, using excellent written and verbal communication.

  • Work in alignment with Business Support Community, building strong relationships with Assistants and other internal stakeholders to enhance and encourage cross enterprise knowledge sharing
