Full Job Description
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
We are looking for a motivated individual to provide a full Secretarial/Administrative service, including a high degree of note taking for the Safeguarding team within the Adult Community Mental Health Team, based at Civic Offices in Borehamwood. All applicants must have minimum 2 years secretarial/administrative experience and contribute to the values of HPFT - WELCOMING, KIND, CARING, RESPECTFUL and PROFESSIONAL., The successful candidate will have experience and skill in these key areas:
- Full secretarial service to the Clinical team, including administrative support to the Safeguarding team and Consultant Psychiatrists
- Excellent record keeping, note taking in the form of professionals/business/Safeguarding/Team meetings (shorthand is not required).
- Excellent typing/document editing skills.
- Paris electronic patient records database (full training will be given)
- Microsoft Office package
- Ability to work under pressure and multitask meeting notes with other secretarial duties.
- To be able to work independently, using own initiative and undertake non-routine duties without direct supervision, working within broad procedural guidelines. Candidates should be able to demonstrate that they can prioritise and manage their own workload whilst maintaining a positive, professional and calm approach. Excellent IT skills, a good working knowledge of Microsoft office and accurate copy and audio typing skills are essential. This is a very busy and varied role, responsible for all aspects of administration and will involve service user contact, so good interpersonal skills are required.,
- A good standard of education to secondary level
- Advanced IT skills
- At least 2 years experience of working in an office environment Desirable criteria
- NVQ3/RSA3 OR equivalent experience, Microsoft Office/Word/Excel/Outlook Packages
- Ability to organise and prioritise own workload
- To be proficient in diary management.
- To record and transcribe notes, either by hand or on a laptop in meetings
- Maintain a filing system, both paper and computerised systems Desirable criteria
- Knowledge of medical terminology, Ability to communicate with a range of people, whilst, taking into account the confidential nature of the post, To make judgements, without direct supervision, as to the importance/urgency of workload issues
