Full Job Description

All administrative duties including developing and maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to team members. Sorting and prioritising incoming e-mail, distributing as appropriate. Diary management for the department, arranging and changing appointments/workshops. Ensure urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner. Organising, planning and taking part in events, providing supporting materials. Supporting project management, input, monitor and check data and performance reporting for programmes and projects. Point of contact for teams, dealing and responding with complex queries, passing on relevant information to appropriate team members sensitively and autonomously. Supplying relevant information for financial management, checking and sending invoices for payment. Running and collating reports (some to Board and senior management). Preparing agendas
and minutes/notes including group discussions and interviews. Working flexibly with administrators/PAs across the organisation providing an effective network including dealing with visitors to the base and covering other administrators general duties. Providing guidance and advice on relevant policies and procedures. Other delegated duties as required.
