Applicants must be based in London and able to come to our offices on a weekly basis. We are looking for an impeccably organised, team-oriented person to provide administrative support to our exceptional team of Sales Advisors and Viewings Hosts. The job involves booking in viewings at the best homes in the UK. Enquiries arrive by phone and email, and you will need to be adept at reacting, prioritising and providing outstanding customer care. You will work very closely with the rest of our committed team to set new standards in estate agency and deliver the best service for our clients, buyers and viewers. Previous experience with an estate agency is not necessary, but the ability to juggle tasks and retain information under pressure is essential. The Viewings Coordinator helps our sales team to sell remarkable homes by carrying out key administrative duties. As a first point of contact for all incoming enquiries and assisting with listing updates, the Viewings Coordinator ensures we can deliver world-class service to our clients through a responsive, warm and informative approach. Primary Objectives:

  • Take inbound viewing enquiries and convert them to viewings by coordinating external and internal stakeholders primarily using phone and email
  • Respond to a variety of enquiries related to listings. Proactively update the sales team (and colleagues) with any relevant feedback or information
  • Coordinate and engage with the TMH Freelance Viewing Host network
  • Provide support to the Viewings and Sales Team wherever needed, including taking on additional responsibilities during colleagues' annual leave
  • Create future promoters of the brand, by delivering the highest level of customer care
  • Confidently input and manage information in the CRM system
  • Ensure we meet ethical and legal standards (anti-money laundering and GDPR); capture and log this essential information in a timely and accurate manner. Consider the personal and sensitive information we handle and escalate concerns to someone senior to avoid penalties.
  • Any other tasks, as assigned, to support business needs., The Viewings Coordinator reports to the Buyer Operations manager and sits within the Sales Team. As it is a cross-functional role, it also works closely with the Client Operations Team.
