The successful candidate will be integral to the team as wework towards transforming and re-shaping the internal HR and OD service andproviding a high quality, responsive service to all our employees and managers. The Transformational HR Team ispart of the ICBs wider People Directorate, which provides system leadershipand collaboration opportunities to deliver People initiatives across allsectors, professions and backgrounds across the Humber and North Yorkshire Healthand Care Partnership. This is a varied, exciting,challenging but rewarding role. The Workforce SupportOfficer will provide comprehensive administrative support to theTransformational HR and L&D teams and be the first point of contact forenquiries relating to HR, Learning and Development and our Electronic StaffRecords (ESR) system. Interviews willtake place on 09 January 2024. Main duties of the job As a key member of the HR team, you will be responsible for theprovision of high quality administrative support; ranging from investigatingand responding to enquiries from internal and external sources to themaintenance and accurate input of data on to the Electronic Staff Records (ESR)system, setting up and management of Learning and Development courses and theday to day administration of two shared mailboxes. You will deliver training on a 1 : 1 basis or in small groups relating tocurrent processes or the implementation of new processes including recruitment,appraisals, pay progression and the ESR Manager Self Service function. You will provide basic HR advice surroundingrecruitment, pay and terms and conditions of employment. You will need to quicklyestablish relationships with managers, teams or external organisations such asOccupational Health, payroll providers, NHS jobs and the Disclosure and Barringservice., 1.To beresponsible for the maintenance and accurate input of employee data onto theWorkforce Information System Electronic Staff Record (ESR) ensuring theschedule of monthly deadlines are met. 2.Assistin the provision of a workforce information service through the timelyproduction and retrieval of workforce reports / data for internal and externalpurposes, using judgement to identify any anomalies or discrepancies. 3.Maintaindata quality of information on ESR ensuring information is up to date andrelevant. 4.Respondto enquiries relating to workforce information and associated employee termsand conditions of service, providing basic HR advice. 5.Responsiblefor the administration and setting up of Learning and Development courses inESR 6.Responsiblefor day-to-day administration of the ICB Learning Inbox, dealing with requestsand queries, forwarding to the Snr Mgr; OD & L&D Lead where necessary 7.Forwardingthe Learning and Development Panel with applications for funding and studyleave emailed to the learning inbox and acknowledging receipt to applicants andnext steps 8.Contactingapplicants with decisions on approval status of applications 9.ProcessingPDP returns into the sub-folders for reference and maintaining a record ofTraining Needs Analysis 10.Providecover for periods of annual leave or sickness absence for the recruitmentservice undertaking pre employment checks and providing contractualdocumentation
Essential
- Educated to diploma level or equivalent level of experience
- Knowledge of a range of HR and administrative procedures, Ability to multi-task and manage a diverse workload
- Excellent interpersonal skills with ability to explain complex and routine information to all levels of staff and external contacts.
- Ability to prioritise own workload and meet strict deadlines in addition to using own initiative. Experience Essential
- Previous extensive experience using Microsoft Office packages (word / excel / databases) and working in a busy office environment.
- Recent experience of work involving regular and accurate data inputting to strict deadlines.
- Experience of investigating and resolving queries through the application of relevant work procedures
- Previous administrative experience
- Previous HR or Learning and Development experience Desirable
- Previous NHS experience
- Previous experience of working with the Electronic Staff Record system (ESR)
