Full Job Description

We are seeking a skilled and experienced Workplace Manager to manage three HQ buildings in London. The primary focus of this role will be to ensure statutory compliance, back of house spaces, PPMs, Reactive maintenance, L8, and other related tasks to support the silent running of our FM delivery whilst maintaining customer experience at the heart of what you do.

· This role will report to the London Campus Lead Workplace Site Manager and will work closely alongside London Service Line Leads, the Contract Support & Governance Manager as well as Business Area SMEs & the wider Mitie functions e.g. finance, projects, procurement, water, fire & control etc to ensure Operation Resilience, customer satisfaction (NPS), P&L responsibility, implementation of best practice, standardisation and consistency and continuous improvement.

· Be responsible for core Mitie service scope responsibilities ensuring Mitie Service Lines and 3rd party suppliers maintain and repair the services of the London Campus in line with the clients' contractual requirements, statutory requirements, agreed timescales and budget.

· Assist in the monitoring of KPIs.

· Deliver high quality service provision, challenge the status quo with a focus upon the end user experience.

· Identify areas for growth whilst ensuring the Mitie Commercial Change Control process is adhered to.

· Manage relationships with client stakeholders, mapping and avoiding operational escalations.

Main duties

· Work with the other Workplace Site Manager & Lead Workplace Site Manager to ensure the management of any building incident.

· Work with the Contract Support Administrators to ensure they can effectively manage the PPM schedule for the all plant and services within your allocated building, arrange contractor quotations for the maintenance of plant and services, review all RAMS through the Epermit system and manage access to the Deloitte demise for all Mitie contractors and subsidiaries.

· Ensure that all facilities in the buildings are operating at peak performance levels

· Ensure statutory compliance with all relevant regulations and guidelines

· Develop and maintain relationships with vendors and contractors

· Develop and implement policies and procedures to ensure efficient and effective operations

· Supervise and manage a team of facilities management professionals

· Ensure that all back of house spaces are maintained to a high standard

· Manage PPM schedules and ensure that all tasks are completed on time

· Manage reactive maintenance tasks and ensure that they are completed promptly

· Legionella RP

· Collaborate with other departments to ensure a seamless and integrated workplace experience

· Arrange contractor quotations for the maintenance of plant and services.

· Review all RAMS through the Epermit system and manage access to the Deloitte demise for all Mitie contractors and subsidiaries.

· Ensure all contractors that may be working in hazardous areas take all safety measures to prevent danger, avoid injury and prevent damage to equipment.

· Ensure all works are carried out in accordance with the safe systems of work and permit to work procedures.

· Co-ordinate and supervise staff and contractors to ensure essential repair works, planned preventative maintenance, calibration and fault diagnostics are carried out to the appropriate quality standards and in a timely manner.

· Regularly audit records to ensure system robustness and audit readiness as and when required.

· Regularly meet with, review and audit contractor performance to ensure compliance with the contract and Health and Safety requirements.

· Regularly review contractor performance to ensure compliance with project specifications and adherence to Health and Safety.

· Take appropriate action to remedy any non-compliance.

· Apply a flexible approach to Workplace Services management in accordance with both the Company and Client requirements that may prevail from time to time., · Follow Group and company policies and procedures at all times;

· Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;

· Use all work equipment and personal PPE properly and in accordance with training received;

· Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;

Level of Authority

· The job holder will have the authority to carry out their role on a day to day basis in accordance with all prevailing company policies. The job holder will have authority to incur expenditure and to agree legally binding commitments on behalf of the company but these must be in accordance with the company authorisation limits, which are determined by the Authorisation Register

Essential

· Experience of working as a Building Services Manager/ M&E Manager for a minimum of 5 years in a corporate setting.

· A very strong understanding of Mechanical and Electrical Packages.

· Experience in total site management as well as a proven track record of leading multiple discipline teams.

· Experience in the M&E Building services sector and a working knowledge of the operational activities and trade skills.

· Excellent presentation and communications skills and proficient problem solving skills. It is crucial that you have the ability to work well under pressure, the confidence to make decisive decisions and experience in meeting tight deadlines.

· Thorough technical knowledge, plus relevant experience, of the operation and maintenance of critical building services as described in the key responsibilities of the role section.

· A proactive attitude, with experience of successfully delivering change, through both processes and people.

· Knowledge of current legislation and mandatory standards relating to safe working practices.

· Excellent organisational and interpersonal skills.

· Relationship management skills and the ability to manage a team under both direct and indirect line management.

· The ability to communicate effectively, in both verbal and written forms.

· Capable of fully utilising programs in the MS Office suite to produce written reports, tracking spreadsheets and presentations.
