Full Job Description
You will be responsible for effectively deploying Metworks trade teams to make repairs to properties. You will also be responsible for operating Metworks systems to ensure that planning, finance and administration tasks are maintained and enable the company to meet all of its contractual and performance requirements. As a Complex Works Co-ordinator, you will support the team to deliver excellent performance and a smooth day to day repairs service to residents and front-line staff, with an emphasis on compliance and installation of Fire Doors, special projects & complex repairs. Your role will include, answering the phone, supporting the Contract Manager and Supervisor in compiling reports and monitoring KPIs and dealing with day-to-day queries from both trade staff & front-line staff, ensuring they are routed appropriately within the team. Working closely with the team, our contractors, supply chain partners and our customers, you will have telephone contact with residents, and manage the team mailbox. Your role will be flexible, and you may be asked to complete a range of administrative tasks to help us deliver the services that the team is responsible for.,
- Planning of works for both in house & contractor works.
- Liaising with supply chain partners for materials and services.
- Planning and administering of Fire Safety works, that may include Fire door installations and repairs, Fire Stopping, Structural repairs & installations to include all documentation, liaising with supply chain partners, BM Trada, MTVH Fire Safety Team (FST), & sub-contractors.
- Monitor progress on complaints & escalate to Contract Manger & Supervisor.
- Provide the Contract Manager & supervisors with performance data.
- Organise & attend meetings as required, including drafting agendas, booking rooms and refreshments, collecting visitors and typing minutes.
- Support the team to manage the work of contractors e.g. rebooking repair appts with customers and escalating appropriately where necessary.
- Ensure queries are allocated to the correct members of your team and responded to promptly.
- Undertake any other administrative and clerical tasks for the teams as necessary.
- Support the Contract Manager with a range of admin duties relating to their responsibilities.
Experience of developing and running administrative systems and procedures. - Experience of managing conflicting priorities in a busy office environment.
- Take responsibility for your own learning and development.
- Excellent PC skills including Microsoft Word, Excel, Outlook, Sketch Up, and in house repairs systems of working with Northgate and DRS applications.
- Experience of effectively completing multiple tasks in a busy environment.
- A self-motivated, ambitious team player who is capable of managing their own time.
- Experience of taking minutes and administration
- Proven background in a customer service focused environment
- Problem-Solving Ability: Identifying issues and finding practical solutions quickly.
- Proactiveness: Anticipating needs and taking initiative to address potential issues before they arise.
