Full Job Description

Our Administrators are an integral part of our Specsavers business ensuring efficient administration and scheduling that puts our customers first and foremost. This is a multi-skilled role working closely with our store teams and Directors as a key part of the team. At Specsavers we are passionate about our people and their development. You will receive thorough and continued training and development to enhance your understanding of optical products, so previous Optical experience is not always necessary, but a passion for fantastic customer service is a must! You will be a key part in creating a warm and friendly atmosphere and an outstanding store environment both for our customers and our team.,

  • Reconciliation of daily sales figures and NHS funding - ensuring NHS admin is managed and carried out daily
  • Support the management of the diary of clinics, allocating resource to ensure a diary efficiency.
  • Manage cancellations and where appropriate rescheduling appointments
  • Confirm appointments with patients ahead of time to ensure the smooth running of clinics
  • Review orders and create fitting schedules ensuring appropriate notifications
  • Ordering and maintaining stock as required (e.g. accessories, marketing material etc.)
  • Dealing with telephone queries and responding to online or email queries within agreed SLAs
  • Mange the eGOS notification process
  • Support with local marketing and outreach activity
  • Send marketing and promotional material to potential customers and following up as required
  • Manage some financial processes including expenses and banking as required
  • Support the Directors with ad-hoc tasks as required
  • Act as an ambassador for Specsavers at all times., Enthusiastic - customers can tell you enjoy your job and genuinely care about helping them.

  • Professional - your Specsavers uniform is well-presented, you are respectful, and you share your knowledge using clear explanations.

  • Helpful - you are clear in your intention to provide the best solution, that you want them to be confident in their decisions and that you are not trying to sell or upsell something.

    Experience of working in a fast-paced administration environment
  • Excellent administration and organisational skills
  • Systems literate, able to use different IT systems effectively including Office 365
  • Excellent customer service approach, able to provide support and reassurance to customers
  • Team worker with a positive can-do attitude
  • Fantastic communicator, able to adapt communication style to suit the audience.
  • A high level of interpersonal skills with the ability to build working relationships with a wide range of people
  • Desirable Skills
  • Previous experience of working within an Optical environment
  • Local marketing and/or social media experience
