Full Job Description
This role is responsible for leading a team in the effective management, optimisation, and administration of Suppliers of Market Data, Telecommunications and IT recurring charges. This role ensures compliance with organisational policies and provides strategic insights to improve efficiency and reduce costs. Attention to detail and strong leadership skills are essential for success in this position. Managing a team of three analysts, the role is required to operated and continuously improve the management of these expense types across, contract management, inventory management, spend / cost management & reporting, market data entitlement administration and invoice management. Overall Responsibilities Team Leadership and Management:
- Lead and manage the team, providing guidance, support, and professional development.
- Set clear goals and objectives for the team, monitoring performance and ensuring targets are met. Calero MDSL Knowledge
- Operate current process whilst setting the strategic direction for how Marex can leverage all Calero functionality.
- Continuously improve efficiency of processes within the team and how the team supports the end users and finance
- Design and build reporting capability that facilitates decision making within the business Collaboration with Finance
- Work with Finance to ensure the Calero inventory is efficiently supporting finance cost reporting, including accrual and prepayment reporting.
- Collaborate with Finance to improve process efficiency and eliminate and process duplication between Calero and finance systems. Team Management:
- Manage a team of three analysts to effectively deliver the following responsibilities: Contract Management:
- Maintain Calero's MDM and TEMS modules to ensure it has accurate records for supplier services, legal contracts, amendments, cancellations and related documentation.
- Manage upcoming contract renewals and expirations to ensure the business have advance awareness of contract expiries or auto renewals.
- Update Contract inventory with accurate dates and terms Inventory Management
- Daily maintain market data, IT and Telecons inventories accurately using Calero's MDM and TEMS software
- Operate the Joiners and Leavers process to ensure the inventory and updated and services are added or terminated as required
- Prepare, monitor, verify and distribute reports on a regular basis, regarding cost reporting.
- Support finance with accruals and prepayment management
- Prepare ad hoc reporting from the Calero Database upon request.
- Continuously review and audit existing processes to ensure effective performance and compliance with mutually agreed requirements and control procedures Market Data Entitlement Administration
- Upload Bloomberg entitlement files (SID file and EMRS file) and reconcile to the inventory
- Upload of all application usage files when defined by trade support
- Produce analysis of unused sources, services and users across supplier and/or proprietary entitlement systems where applicable
- Manage CME Netting declarations and various exchange declarations
- Execute removal /transfer of unused sources/products/exchanges/specialists
- Bloomberg SID files analysis, removal/relocation of unused terminal and services, Invoice Management
- Review and upload invoices including files where required
- Reconcile invoices to Calero database
- Exception handling through internal and external escalation
- Process invoices and respond to suppliers regarding status and chase suppliers for missing invoices Standard responsibilities for all roles
- Ensuring compliance with the company's regulatory requirements under the FCA, NFA, AMF, AFM, MAS
- Adhere to the operational risk framework for your role ensuring that all regulatory or company determined parameters are complied with.

- To ensure that you are fully aware of and adhere to internal policies that relate to you, your role or any other activities for which you have any level of responsibility.

- To provide input to risk management processes, as required. The Company may require you to carry out other duties from time to time
- Knowledge and experience of Calero inventory systems is Essential.
- Strong analytical and quantitative skills with proficiency in data analysis tools. (e.g Excel and Power BI)
- Excellent attention to detail, have a high degree of accuracy in data analysis, reporting and auditing
- Excellent Organisation and time-management skills.
- Strong communication and interpersonal skills to effectively collaborate with stakeholders.
- Ability to manage multiple projects and meet deadlines.
- Knowledge of supplier management principles, practices, and regulations.
- Experience working in a regulated environment and knowledge of the risk and compliance requirements associated with this.
- Desirable - Bachelor's degree in business administration, supply chain management, finance or a related field. Competencies
