Full Job Description

The Project Assistant Supervisor is responsible for leading the administrative group. The Project Assistant Supervisor is responsible for determining assignments and activities to ensure the efficient and cost-effective utilisation of the project administrative team.

  • Schedule and manage Project Assistant staff to meet divisional workload requirements.
  • Lead Project Assistant activities with Project Managers and Division management.
  • Provide technical leadership and serve as technical resource for department.
  • Lead in the development of objectives and requirements for the group; organise projects and develop standards and guidelines.
  • Recommend organisational structure changes in order to more effectively and efficiently achieve the objectives of the group.
  • Develop and implement processes and procedures to better serve clients, increase staff skills and maintain billable goals.
  • Ensure the problem-solving of complex or difficult project situations with administrative staff and internal or external customers.
  • Responsible for leading team meetings.
  • Recommend and implement policies, procedures and strategic goals of the organization.
  • Resolve escalated project related issues.
  • Monitor the close out process and ensure physical sign off of project documents & maintain electronic and paper files.
  • Recommend and implement procedures pertaining to internal project requirements.
  • Responsible for the recruitment, development, training, and retention of staff.
  • Responsible for conducting performance evaluations for department staff.
  • Provide leadership, guidance, and instruction to the department.
  • Responsible for interpreting the organization's policies, purposes, and goals to staff.
  • Responsible for overall QA/QC process adherence.
  • Enforce compliance with company and site safety policies.
  • Responsible for diversity initiatives.
  • Performs other duties as assigned
  • Complies with all policies and standards

    Bachelor Degree and 5 years related experience Required or
  • Higher National Certificate and 6 years related experience Required or
  • General Certificate of Secondary Education and 8 years applicable work experience may be substituted for degree requirement Required
  • Position requires ability to work independently, demonstrating accuracy, reliability, organization and problem solving skills.
  • Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint is required.
  • Excellent organizational skills, attention to detail, communication skills and ability to handle multiple tasks.
  • Demonstrated ability to communicate with all levels within an organization.
  • Previous supervisory experience preferred.
