Full Job Description

As the Senior Occupancy Planner, you will lead and execute a player-coach role, combining strategic leadership with hands-on contribution. You'll manage and guide one direct report dedicated to our client's global portfolio, ensuring the delivery of both high-level strategic occupancy planning expertise and essential day-to-day planning tasks. In this capacity, you'll serve as the OP point of contact for the client, taking full ownership for the successful delivery of comprehensive Occupancy Planning and Management services. Player - Coach Responsibilities

  • Provide hands-on guidance and mentorship to your direct report, fostering their professional growth and enhancing their skills in occupancy planning and client management.
  • Lead by example in developing and maintaining strong client relationships, demonstrating effective communication, active listening, and problem-solving skills.
  • Actively participate in high-level strategic discussions with clients, offering insights and innovative solutions to complex occupancy challenges.
  • Oversee and contribute directly to the development of comprehensive occupancy strategies, ensuring alignment with clients' business objectives and industry best practices.
  • Collaborate closely with cross-functional teams to integrate occupancy planning with other aspects of workplace strategy and real estate management.
  • Analyze market trends, emerging technologies, and industry developments to inform occupancy planning decisions and keep the team at the forefront of innovative practices. Must be able to effectively communicate the reasoning and data driving decisions to internal stakeholders and clients.
  • Develop and refine processes and tools for occupancy planning, improving efficiency and effectiveness across the team.
  • Represent the occupancy planning team in cross-departmental initiatives and high-stakes client meetings, articulating the value and impact of occupancy strategies.
  • Balance individual contributor responsibilities with leadership duties, maintaining a deep understanding of day-to-day operations while steering the team's overall direction.
  • Identify opportunities for your direct report to take on challenging projects, providing support and guidance while promoting their professional development.
  • Driving optimal occupancy planning solutions Your primary focus areas for this role will be managing the development of occupancy plans, sequencing group-level and individual moves, and resolving planning issues identified during client planning sessions. You will ensure the alignment of planning with corporate guidelines and that all scenarios maximize the use of space. You will recommend, educate, and enforce space policies/standards, procedures, and protocols, notify the client of customer-requested exceptions, and, as necessary, assist in developing site-specific Planning Strategies with Senior Leadership. You will be a Subject Matter Expert in the client's workplace program and in using data to drive solutions that increase productivity. You will be a leader in the Occupancy Planning and account team, modelling superior client relationship management and strategic thinking. Reporting One of your major requirements will be to familiarize yourself with space utilization methods and the presentation of utilization data. Interacting with organizational leadership, you will identify space requirements and prepare and update project status reports on actual versus projected seat demand at the building level. In addition, you will report on current supply and capacity, forecast inventory changes as required, and work with the client to reconcile any discrepancies from top-down projections.

We will expect you to work independently, multi-task, and manage your time to meet deadlines, as you'll often need to reorganize your daily schedule to deal with your team's changing necessities and requests. We will also look to you to be proactive and innovative in developing solutions with your stakeholders and driving their implementation. Tech-savvy You will be successful in the role if you are comfortable using software to support planning solutions and communicate ideas clearly with the planning team and client. This includes having advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations). In addition, proficiency in Microsoft Office Suite and the ability to consolidate data and floor plans into PowerPoint Presentations and experience with CAFM / IWMS software will be highly valuable. Knowledge of space planning rules and AutoCAD experience are needed for this role. A Communication Champion Excellent communication skills are important - both written and spoken. An individual with strong interpersonal skills, able to understand complex ideas and communicate them to others, and an ability to interact with executive-level external and internal clients will be successful in the role.   • Prior experience leading a team, preferable global in scale
  • Versatile professional who can seamlessly transition between strategic oversight and hands-on execution effectively leading the team while maintaining a deep involvement in the intricacies of occupancy planning and management.
  • Proven ability to build strong client relationships, anticipate needs, adapt to changing priorities and foster long-term partnerships.

  • Attentive to detail and accuracy - particularly numbers and spatial creativity
  • Highly organized and demonstrates a high level of performance in managing priorities and deadlines
  • A working knowledge of occupancy utilization strategies, office design principles, and emerging trends such as mobile or collaborative workplaces is preferred
  • A Bachelor's Degree in Architecture, Design, Construction Management, or related field is preferred
