Full Job Description

To be responsible for the overall operational management of the office including workplace services, health and safety and compliance. To effectively manage and motivate the workplace team, working collaboratively with the wider management team to lead by example with purpose, aligned with the Firm's values. Main duties and responsibilities: Workplace Management

  • Provision of an efficient, effective and excellent Workplace Management service.
  • Assist in the local planning of space and facilities requirements to maintain high quality, effective workplace solutions to include fit-out, space planning and infrastructure services all within the Agile working environment.
  • Effectively manage the services across the workplace, specifically tailoring the appropriate service delivery to each area where/when required.
  • Organise and lead on local focus groups with internal clients to determine requirements and delivery expectations.
  • Conduct regular customer satisfaction surveys and prepare business papers to offer solutions to further improve the service delivered and the general working environment.
  • Prepare and provide timely and accurate statistics, management information and reports within the agreed format.
  • Maintain a high profile/visual presence throughout office through good relationships with internal stakeholders, partners and clients.
  • Responsibility for the collation, updating and circulation of workplace communications out to the office, using the appropriate communication channels.
  • Oversee the management and distribution of lockers and desk facilities on agile floors.
  • Assist with the management of security pass creation and access control in line with set standards and procedures.
  • Review, report and make recommendations from desk utilisation overall as well as through the use of the desk booking system.
  • Workplace Services Delivery
  • Act as the direct internal/external client liaison for any issues regarding Workplace services, providing timely responses and appropriate solutions in order to deliver service excellence.
  • Development and monitoring of the Standard Operating Procedures (SOPs), Service Level Agreements (SLAs) and Key Performance Indicators, (KPIs), for the department ensuring targets are met.
  • Liaison with clients ensuring maximum communication at all times and that feedback is obtained and acted upon.
  • Leadership and operational management/planning of print solutions, mail and courier services, and stationery, sharing best practice with other workplace colleagues.
  • Pro-actively managing Third party workplace services contracts.
  • Responsibility for regularly auditing standards within the above areas to ensure that excellent service delivery is maintained.
  • Developing new practices and implementing change to continually improve service delivery and efficiencies and where applicable, working with the Senior Facilities Management team to ensure these are communicated.
  • Financial, Projects & Procurement
  • Preparing and managing the operational workplace management budget for the office.
  • Local management of the services and supply contracts, including but not limited to print equipment, stationery, couriers etc.
  • Maintaining a commercial approach to contract management through reconciling invoicing, consumables, change controls and reactive works and ensuring budgetary planning and control within each financial period.
  • Preparation of procurement documentation for FM services and products, from request for information to contract award, when required.
  • Regular liaison with contracts managers and service providers to maintain effective working relationships.
  • Involvement in local and national projects, taking the lead where appropriate.
  • Taking the lead in projects where expertise and leadership will add extra value to the team.
  • Assist with wider Firm and/or Facilities projects and initiatives as required.
  • Health, Safety & Environment
  • Manage health and safety compliance in the workplace, including but not limited to first aid, manual handling, DSE, risk assessments in accordance with the firm’s policies, external legislation and codes of practice
  • Monitoring the working environment in order to adhere to relevant health and safety standards, including correctly recording and reporting hazards/accidents.
  • Assisting with the organisation of firm events and activities, providing guidance on what health and safety measures need to be considered and producing the relevant documentation for compliance.
  • Ensure the offices comply with the requirements of ISO14001, OHSAS18001 and ISO27001 and support on the local annual auditing of these, including maintaining accurate records for compliance and audit purposes.
  • Ensure all staff inductions locally are carried out in accordance with internal policies.
  • Ensure compliance with environmental legislation and encourage participation in internal procedures and initiatives.
  • Working with the Facilities Manager, review data on energy use/waste management, actively considering ways to reduce consumption.
  • Delivery of workplace training such as Manual Handling, DSE follow up meetings etc.
  • On call management responsibility for both 'in' and 'out of hours' incidents related to the Workplace, responding accordingly as well as acting as a Fire Marshall for building evacuations and emergency situations.
  • Covering for the Facilities Manager in times of absence.
  • Supporting the Head of Office business resilience plans, ensuring the business has effective emergency response services and appropriate procedures are maintained and supported and taking part in annual or other business resilience testing as appropriate.
  • Team Management
  • Responsible for the management and mentoring of the Workplace team, including skills training, personal development, coaching and performance reviews.
  • Planning and efficiently managing team resource through deployment and shift rotation to ensure coverage of all workplace services through the busiest and less demanding times of the year, and recruitment and retention through training and development and succession planning.
  • Effective delegation to ensure that workload is evenly and appropriately shared amongst the team.
  • Any other duties as required by the Senior Management Team.

    Educated to a minimum of A level, HNC or equivalent, including Maths and English.
  • Minimum of IOSH Managing Safely or similar H&S certification required.
  • Membership of IWFM preferable.
  • At least 5 years management level experience in a similar role, including team management responsibilities.
  • Proven capability and knowledge of delivering leading edge services, including print solutions, mail, courier and archive services.
  • Proven ability to commercially manage third party suppliers and contractor relationships
  • Practical knowledge of managing and developing KPIs and SLAs
  • Good knowledge of procurement processes, including tendering services and supplier relationship management.
  • Experience in change management and driving performance.
  • Understanding and proven success in creating a culture of customer service excellence.
