Full Job Description

We are looking for an enthusiastic and organised individual for a Band 2 Admin Coordinator in the busy Respiratory Department at Heartlands Hospital; you will work closely with the clinical teams to ensure an effective and efficient service for our patients., The position on offer is 25 hours per week Monday to Friday 12.00pm - 5.00 pm (this post will require the applicant to be flexible to provide cover for annual leave etc)., Providing an efficient and professional administrative service:

Covering reception desks

Scheduling of patients into clinics ensuring they meet capacity

When booking appointments ensure that patient accessibility requirements are met, i.e. ambulance transport requirements, appointment letters provided in bold print etc.

Arrange Porters / Patient Transport as requested

Advise patients of appointment times, these could be generated via GP Referral or internal request

Organise interpreters if required to meet the needs of the patient

Answering the telephone and taking messages, dealing with them in a timely and efficient way and referring on as appropriate

Data input, accurately inputting data using a variety of Trust IT systems in a timely way

Organise own day-to-day work tasks showing an ability to prioritise in order to achieve set timescales

Undertake filing and photocopying of documents as required

Receive and open incoming post and take action as required

Review and action electronic correspondence and disseminate appropriately

Book and monitor room bookings as and when required

Arrange meetings as and when required

The successful candidate will be an excellent communicator and problem-solver and be able to prioritise their work. You need to be able to work well under pressure and be adaptable managing multiple tasks. You will be confident with: IT skills, meeting and greeting patients on Reception, answering the phone, and administrative tasks such as booking appointments. The role will also include scanning documents onto patient notes, inputting data, and preparing notes for clinics etc.,

You should have a good general education (e.g. GCSE English and Maths A-C). Knowledge of MS Office packages including Word, Excel and Outlook will be important. Knowledge of the Trust IT systems including would be a significant advantage but is not essential, as full training will be provided.

This role would be a good starting point for anyone new coming into the NHS or NHS employers looking to enter an administrative role as the post would provide an excellent base to develop a transferable skill set and could potentially open the door to other opportunities within the Trust.
