Full Job Description

The Subcontractor Onboarding Coordinator is responsible for managing the end-to-end onboarding process of subcontractors into the Group's induction portal. This role involves ensuring that all subcontractors are efficiently onboarded, meeting training compliance standards, and are fully inducted through the appropriate systems.,

  • Onboarding Management:
  • + Management of the Company's H&S Training Portal 'PowerPlus' in relation to supply chain partners.
  • Acting as the primary point of contact to onboard subcontractors to maintain compliance with the Company's induction passport and training compliance requirements.
  • Reviewing training competence uploads to ensure this meets Company requirements (valid document upload, training remains in date and all mandatory competence provided).
  • In liaison with recruitment agencies and HR, onboard agency/freelance workers to platform and validate training competence.
  • Ensure all subcontractors are registered and properly inducted into the Group's induction portal.
  • Troubleshoot and provide support for any technical or process-related issues during onboarding.
  • Compliance & Documentation:
  • + Review and verify subcontractor documentation to ensure it meets the Group's mandatory training compliance and safety requirements. + Liaise with relevant departments (legal, procurement, HR) to confirm all contracts and agreements are in place. + Track and document the onboarding status of each subcontractor, ensuring timely and complete compliance. + Monthly monitoring to extract expired training against subcontractors, and incomplete induction passports. + Liaison with relevant subcontractors to confirm outstanding action and log progress. + Liaison with the Finance team to conduct an audit on live subcontractors across the Group to ensure compliance with induction/training compliance. + Monthly reporting on compliance across the Group, highlighting non-conformance and escalating as appropriate to key internal stakeholders. + Maintaining live issues tracker to ensure outstanding items are closed out.
  • Communication & Coordination:
  • + Act as a liaison between subcontractors and internal teams (HR, Supply Chain, HSQE) to ensure seamless onboarding. + Setting up training/support sessions with subcontractor lead contacts to demonstrate Contractor Hero access to upload and monitor compliance within their subcontractor business. + Proactively communicate deadlines, requirements, and follow-ups to subcontractors to ensure prompt action and onboarding completion. + Provide updates and status reports to senior management on onboarding progress.
  • System & Portal Management:
  • + Maintain and manage subcontractor records within the induction portal. + Monitor system performance and liaise with PowerPlus if any technical issues arise that could affect onboarding. + Suggest and implement improvements to the onboarding process to enhance efficiency.

  • Strong organisational and multitasking skills with an ability to manage multiple subcontractor onboarding simultaneously.
  • Excellent verbal and written communication skills.
  • Strong attention to detail, especially with compliance-related documentation.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Proficiency in onboarding systems, databases, and Microsoft Office applications.
  • Ability to troubleshoot basic technical issues with onboarding platforms., Previous experience in onboarding, and supply chain coordination.
  • Familiarity with subcontractor management and compliance processes.
  • Experience with onboarding/induction portals and software (desirable)
